Job Description:
Job Title: Coordinator, Tracking and Mechanical Licensing
A little bit about our team:
The Mechanical licensing department is responsible for the licensing of all WCM songs released in physical and digital audio format. The Income Tracking department is responsible to ensure that all royalties due for all the uses of WCM songs will get properly remitted. These 2 departments are vital to the service Warner Chappell provides to its clients: the songwriters.
You'll be part of both teams and you'll be working within a group of 8 people under the supervision of the heads of the mechanical licensing team and the Income Tracking department.

We're looking for independent, enthusiastic applicants ready to work with our whole team and various departments at Warner/Chappell to work on our writer's records to have their shares licensed and paid!
Here you'll get to:
• Approve U.S. mechanical license requests for major labels, independents, and individuals either online via the Harry Fox Agency website, via direct licenses, or by e-mail approval. Research claims to our songs; provide information necessary to the licensing process to the Harry Fox Agency, to international affiliates, other WCM departments and all relevant rights and licensing agencies and societies in the U.S.
• Effectively escalate issues of high complexity to management to obtain proper course of action, judgment and/or decision.
• Review controlled composition clauses from artist's recording agreements to confirm accuracy of license requests.
• Review and evaluate reduced rate requests with management.
• Review specific high-profile releases to determine license and payment status, working from and updating Excel spreadsheets and related system programs to ensure that mechanical licenses are executed as a first step in the process of tracking and collecting royalties.
• Create reports and assist in the resolution of missing revenue from foreign affiliates.
• Review specific high-profile compositions to determine registration, split and payment status.
• Research and confirm publisher splits and verify extent of ownership where more than one writer is involved on a song. Coordinate with the Copyright department to confirm claims to songs so that disputes and/or discrepancies in claims can be resolved for licensing. Resolve missing information (with other departments, as necessary) to ensure proper collection of revenue.
• Conduct research of data from various sources to determine if there have been improper payments in Mechanical and New Media revenue.
• Prepare, update and distribute weekly Billboard charts.
• Welcome visitors, screen and direct phone calls/inquiries, process expenses, schedule and coordinate domestic and international meetings, maintain all calendar items, coordinate domestic and international travel, process incoming mail and correspondence, prepare outgoing mail, and ensure the office is always fully equipped and functions smoothly.
Rockstar candidates will have/be able to:
• A high school level education is required.
• One (1) year of responsible administrative experience, preferably to have been obtained within a music publishing or related company, or satisfactory equivalent of education, training and experience in related fields and/or educational disciplines, sufficient to qualify for the requirements of position.
• Handle and safeguard confidential and proprietary information.
• Effectively communicate internally and/or externally in a manner consistent with the company's Code of Conduct and core values.
• Come to work on time without restriction as to time commitment.
• Read and understand materials and documents and have the ability to recognize and extract critical data and information.
• Perform all diverse physical tasks necessary to complete all the essential duties and responsibilities of the position.
• Work at and utilize all necessary functions of a computer in order to complete all the essential duties and responsibilities of the position.
• General computer skills and a working knowledge of Microsoft Office with emphases in Excel.
• Knowledge of general business practices.
• A strong work ethic.
• Strong organization skills and pay high attention to detail.
• Strong communication skills (written and verbal).
• Adhere to deadlines and execute on tasks and handle multiple, diverse assignments.
• Produce quality work and be accountable.
• Manage time and work well in a team.
• The ability to be innovative and suggest change/improvements within scope of work.
• Anticipate needs and create efficient and effective processes.
• Be a self-starter, self-motivated, and take responsibility/ownership of tasks.

It would be music to our ears if you also had:
• A baccalaureate degree is preferred, augmented by course work in music business or related field.
