Human Resources/ Recruitment Coordinator (Temp)
WB Games Boston seeks a Human Resources/Recruitment Coordinator (temp) for the HR department based in Needham, MA.
This role will report to the Director of HR and will work closely with local and remote HR team in support of the WB Games Boston, WB Games New York, and Avalanche studios. Critical factors for the success of this position include strong initiative, ability to maintain confidentiality and an understanding of the sensitivity of the role as it relates to corporate social culture.
What part will you play?
• Schedule and coordinate candidate interviews, while providing an excellent candidate experience. Interviews may include complex multilayered scheduling, videoconferencing, and facilitating travel arrangements.
• Along with the recruiter, serve as an ambassador in the candidate experience. This role may also represent the company at career fairs, candidate assessments, mixers, and other events.
• Provide operational support to recruiter by posting job descriptions, assisting with onboarding of new hires, scheduling meetings, and other tasks, as assigned.
• Conduct new employee orientation for the three studios to foster positive attitude toward Company goals.
• Create and maintain weekly, quarterly, and/or yearly headcount reports.
• Create, update and maintain organizational charts and employee rosters on a regular basis.
• Perform exit interviews with regular employees below the Director level. Gather insights and suggestions from exiting employees and share metrics with Director to enable continuous improvement and impact reasons for negative turnover.
• Assist with employee communication programs (e.g. company meetings, new-hire meet & greets, morale events, etc.) and division-specific employee communications (e.g. broadcast emails, etc.).
• Serve as a point of contact for employee inquiries regarding basic company policies, procedures, and benefit programs.
• Act as liaison to temporary employment agencies regarding temp hire process and any associated temp employee issues.
• Manage and ensure compliance of the Performance Review (CHAT) process including follow up with Management on delinquent appraisals and review of appraisal forms. Keep HR Director abreast of issues and escalates where appropriate.
• Ad hoc management reporting and analysis (i.e. headcount reconciliation reports, special headcount and staffing reports, employee surveys, etc.).
• Assists with bringing on special training vendors for specific division/department development needs and manage registration process for off-site programs.
• Help plan and execute recruitment and employee engagement related events for candidates and employees.
• In partnership with the recruiter, assist with college internship program which will include:
• Create and maintain job postings on college sites and company website.
• Coordinate and schedule intern interviews.
• Work with internal departments, including finance to manage yearly hiring schedule and budgets.
• Assist with program management of studio open house events, college outreach, job fairs, on-campus events and internal intern events.
What do we require from you?
• 1-2 years' administration experience required. Previous HR administration experience is helpful.
• Proficiency with Excel and other MS Office applications, including Word, PowerPoint and Outlook calendar.
• Must be proactive, self-motivated and be able to plan for, track, prioritize and execute multiple recurring and ad hoc tasks.
• Strong diplomacy and adaptability attributes to deal effectively with all levels of employees.
• Must be able to handle and maintain confidential information.
• Must be comfortable working independently and as part of a team.
• Strong verbal and written communication skills required.
• Must have strong organizational and analytical skills and extreme attention to detail.
• Must have the ability to work well under time constraints and in a fast-paced environment.
• Comfortable in a creative environment.
• Passion for gaming is a plus.
