Full Time Job
Global OTC Assistant supports all administrative & clerical functions for OTC Ad Sales & OTC VCNI. This role will support multiple leaders, including the Ad Sales Revenue Lead & team. This position will handle but also not limited to managing multiple calendars, high volume sensitive emails, schedule conference calls & manage items around staff, such as contingency plans, SOW's, PTO. This role will act as support for OTC projects & VIACOMCBS Initiatives. The Global OTC Assistant will work with sensitive & private information and the ability to maintain confidentiality is critical.
• Support 5 leaders and full team of 80 Manage multiple calendars, coordinating meetings, conference calls and client or vendor appointments
• Preparation & Management of department powerpoint presentations
• Prepare & distribute department metrics
• Maintain and update Organizational Charts
• Update documents such as standard operating procedures
• Oversee technology support as needed
• Maintain Vendor contracts such as Netsend, Credit safe & existing Collection agencies
• Raise PO's in the Market for payments to vendors; use of Ariba
• Support Special projects and Initiatives, includes maintaining, consolidating excel spreadsheets, documenting and setting up trainings, participate in change management activities, maintaining trackers, participate in testing
• Help maintain tracker & RPA automations initiatives
• Coordinate & book travel, process & track expense reports
• There will be some involvement around credit, cash, collections & billing functions
Basic Qualifications
• Experience providing support at the executive level
Additional Qualifications
• Exemplary written and computer skills and in-depth knowledge of relevant software such as MS Office Suite- Excel, Word, Powerpoint
• Knowledge of standard office administrative practices
• Ability to multi-task in a high volume, fast-paced work environment and prioritize tasks
• Excellent communication skills-interface with clients & internal executives
• Comprehensive data gathering and analytical skills
