The CORE Services department for CMT is looking for a Receptionist for CMT’s busy headquarters in Nashville, TN. The perfect candidate enjoys interacting with people, has a professional demeanor with a desire to help others. Is organized, determined to offer great customer service both to callers, guests and staff and has prior experience managing administrative tasks. This role reports to the Manager, CORE Services.
Basic Qualifications
• Makes a great first impression with all visitors and guests to the building, presenting a friendly, professional demeanor and appearance.
• Answers incoming calls to the main number for CMT, responding courteously and professionally at all times.
• Responds and assists staff employees with routine questions related to CORE Services business and functions.
• Exercises good judgement with callers who may be upset about channel programming or wish to make a recommendation.
• Contributes to security efforts, and maintains a list of emergency numbers; acts quickly to assist with obtaining emergency services as directed.
• Reviews and routes incoming emails to the CORE Services inbox to ensure timely attention to employee concerns.
• Communicates requested room set-ups to team members for upcoming meetings that require a special or different room configuration and follows-up with the client regarding their needs.
• Calls for taxis or other transportation for visitors/guests as needed and maintains a list of reliable vendors.
• Orders, sells discount movie vouchers and maintains all applicable data bases.
• Maintains a supply of parking vouchers, selling them to employees and department representatives, and maintains the databases related to these actions.
• Ensures the reception area is tidy and presentable at all times; helps to maintain an environment in the sitting area that is comfortable for guests and visitors.
• Assists with the coordination and set-up needs for in-house production shoots, communicating with all parties involved as needed.
• Catalogs ergonomic request records.
• Catalogs company vehicle service logs for the CORE Services fleet.
• Participates and contributes to departmental meetings.
• Assists with invoice payments and other financial duties as assigned.
• Various other administrative tasks as needed.
Additional Qualifications
• Minimum of one year of prior administrative experience as a receptionist, administrative assistant, or in an admin support role.
• Minimum of one year of prior experience in a business environment, preferably with a sizable corporation.
• Prior experience in a customer service capacity required.
• Neat, professional appearance required.
• Must have strong initiative, strong organizational skills, and consistent attention to detail.
• Excellent grammar, telephone etiquette, and written/verbal communication skills.
• Strong interpersonal skills and a desire to help others.
• Excellent computer skills including the use of MS Word, Excel, and Outlook with the ability to learn other software programs as needed by CORE Services or the company.
• Prior experience using SAP is highly desired.
