Personal Assistant to SVP, Global L&D and VP, Org Effectiveness
This is an opportunity for a highly organised assistant to work within an exciting International organisation and to be part of a fast paced and dynamic team. Working as part of the Org & People Development team, managing the travel, diary and expenses of the SVP, Global L&D and the VP, Org Effectiveness is a key focal part of the role. This position requires a high degree of professionalism, accuracy and adaptability.
This role is first port of call for anyone within the company wishing to gain access to the either of the SVP, Global L&D or the VP, Org Effectiveness so an ability to act sensitively with different levels of staff across the global network is essential. Experience in HR and/or L&D, supporting at Senior Management level within an International based Company is advantageous.
This role will also be responsible for some administration and design for the Org & People Development team
Key Responsibilities Include;
• Main point of contact internally and externally
• Extensive diary management (proactive)
• Preparing document packs for meetings/bring forward
• Prepare agendas for meetings
• Meet and greet all guests
• Book travel, arrange visas and prepare travel itineraries
• Administrative duties – prioritising voice mails, dealing with incoming post – activating and responding where possible
• Compose correspondence on behalf of the SVP where necessary
• Managing expenses
• Screening internal and external calls, taking messages, arranging conference and video calls, communicating incoming and outgoing information
• Updating and collating contact lists
• Research, information tracking and collation as related to the preparation of OD and L&D presentations
• Working on relevant projects as assigned by the SVP and VP
• Prepare terms and conditions and files for the direct report group and senior management team as directed
General team assistance;
• Organising and taking minutes at monthly team meetings
• Support in creation of presentations as required
• Coordinating Team events such as lunches, leavers, birthdays etc
• Provide ad hoc support to Org & People Development team
• Upkeep of Stationary supply
• Coordinating catering for internal and external meetings
• Arranging conference calls and meetings across multiple time zones
