Full Time Job
This position is responsible for providing administrative support to the Executive Vice President, Business Affairs.
Responsibilities
to include, but not limited to:
• Assists in the preparation of VP work product
• Distributes internal and external agreements and correspondences
• Answers phones, schedules appointments, confirms meetings, maintains daily schedules, photocopies material, facsimile and e-mail distributions, routes incoming and outgoing mail that may include large distribution lists
• Maintains tickler system for follow-up; updates entries of status of projects in various status report databases
• Composes and generates letters and memos
• Researches quotes for actors, writers, producers, and directors
• Generates expense reports
• Liaises with internal departments and external entities as needed
• Routes articles to lawyers and other company officials
• Files correspondence and legal documents in office filing system
• Ensures proper indexing and filing of original legal documents
Basic Qualifications
• Minimum 3 years entertainment and/or legal experience
• Proficiency with Word, Excel, PowerPoint and internet software
Additional Qualifications
• Bachelor’s Degree preferred but not required
• Excellent written, verbal, and interpersonal skills with the ability to interface with staff, other administrators, internal and external customers and senior management
• Organized and detail oriented with the ability to manage multiple high priorities, appropriately prioritize work and proactively anticipate and manage time
