The Global Programming Acquisitions Group is looking for an assistant who will provide administrative support to the Executive Vice President, Global Program Acquisitions Group. This role requires a candidate who is very detail-orientated and who enjoys working in a high-pace and dynamic environment. Candidate must be a forward thinker who is able to anticipate needs, and is focused on ensuring the EVP has a smooth and focused schedule. Candidate must be a good communicator and an effective administrator with a desire to help others. This candidate will develop and maintain relationships with key internal / external assistants along with executives and clients.
Responsibilities include, but not limited to:
• Covers high-volume phones, ensuring exec receives all calls; Maintains EVP’s daily call sheet of incoming & outgoing messages
• Owns the exec day-to-day calendar requiring on-going upkeep. This includes, but is not limited to, scheduling meetings and events, managing daily phone access and availability of the exec and noting all events and reminder follow-ups
• Handles all international & domestic travel arrangements including flights, hotels, car service, etc. and generates travel itinerary
• Maintains exec meeting requests and pro-actively proposes & confirms available dates/times while coordinating with security for visitor access
• Books conference rooms and VTC set-up for department meetings
• Maintains and submits Dept expense reports according to Company T&E policies
• Copies, Files, Organizes documents / area as required
• Prepares emails and other Word, Excel and Power Point documents in a timely manner
• Responds to facility issues and assists with special projects
• Maintains and distributes Dept contact information and admin guidelines regularly
Basic Qualifications
• Minimum 5 years High-Level, Executive Assistant experience
• Superb Microsoft Outlook (calendar / email), Word, Excel, Power Point and internet skills
• Must demonstrate previous experience working closely with execs on calendar coordination & daily activities
Additional Qualifications
• Candidate must be a team player with a positive “can-do” attitude, who exhibits a deep passion for supporting executive leaders and senior management
• Candidate must be a self-starter who will be able to “hit the ground running” working independently and in conjunction with EVP
• Must have strong communication skills and be forward thinking, anticipating needs of EVP
• Excellent written, verbal, and interpersonal skills with the ability to interface with staff, other administrators, internal and external customers and senior management
• Organized and detail oriented with the ability to manage multiple high priorities, and have the ability to appropriately prioritize work, and proactively anticipate and manage time
• Must be comfortable working in a fast-paced, high-pressured environment with confidential business information
• Entertainment or Media-Related Industry experience preferred
