Full Time Job
This position is responsible for providing administrative support to the SVP Information Technology and VP Data Services along with back up support to the EVP/CIO.
• Ensures meeting attendees, phone conference bridges are on time and in place prior to Executive’s arrival and meeting start time
• Coordinates Executives’ heavy schedule and makes appointments
• Assists Executives’ in maintaining timely arrival & attendance to meetings & events
• Performs administrative duties such as filing, typing, and copying documents
• Screens and responds to incoming calls and correspondence
• Coordinates & arranges meetings, prepares agendas and other related documents, reserves & prepares meeting rooms
• Composes and prepares confidential correspondence, reports, presentations, spreadsheets and other documents
• Arranges detailed travel plans and itineraries and compiles documents and expenses for travel-related meetings
• Accountable for Travel & Expense processing
• Resolution of general administrative issues for the department floor (including facilities, supplies, general office equipment such as printers, fax machines, and telecom requests)
• Greets scheduled visitors and conducts to appropriate area or person
• Provides back-up coverage for the EVP IT/CIO office
• Provides administrative support to the larger IT dept as needed
Basic Qualifications
• Bachelor’s Degree. required
• 3 years administrative support experience supporting an executive, agent or senior level management
• Highly Proficient with MS software including Word, Excel & PowerPoint
Additional Qualifications
• Excellent written, verbal, and interpersonal skills with the ability to interface with staff, other administrators, internal and external customers and senior management
• Candidate must be organized and detail oriented with the ability to manage multiple high priorities and have the ability to appropriately prioritize work and proactively anticipate and manage time
• Excellent organizational and project management skills
• Needs to be an effective problem solver who is able to maintain a professional, calm and efficient approach in a fast-paced environment
• Ability to handle a wide variety of tasks on his/her own, with little to no supervision
• Information Technology department work experience a plus
