Full Time Job
Provide administrative support to the SVP, Viacom Digital Partnerships and the Digital Partnerships team, including phone coverage, organizing and preparing for meetings, managing calendars, coordinating conference calls, printing/copying/scanning, maintaining schedules and records and making travel arrangements.
• Assist in specific projects, including the creation of presentation materials
• Maintain and distribute (as needed) all partner one-sheets, priority calendars and product roadmaps
• Prepare travel and expense reports for department executives.
• Provide support to team Directors, Managers & Coordinators as needed
• Provide administrative support for the entire department by ordering office supplies, sorting mail, faxing, copying and interfacing with facilities as needed
• Processing of invoices and tracking payments while become proficient with SAP Software
Basic Qualifications
• Must be very organized, detail-oriented, reliable and composed
• Strong written and verbal communication skills
• Able to manage multiple tasks and activities simultaneously
• Should be proficient with MS Outlook, Word and Excel
• Ability to adapt and work well under pressure
• Passion for digital media and familiarity with the tech industry
• Ability to be discrete and maintain confidential information
• Team-player who operates in a fast paced team-oriented setting and is enthusiastic about assisting others when needed
• Self-starter with the ability to anticipate needs and generate potential alternative solutions to issues as they arise.
• Understanding of how to prioritize and respond accordingly
• Strong communication skills, with the ability to manage and prioritize a heavy workload with a “can do” attitude
• 1-2 years previous administrative assistant experience preferred
