Coordinator, Worklife & Programs - Viacom Human Resources
The HR Employee Events & Programs team orchestrates the creation, organization and deployment of work-life & engagement programs, events and policies. This includes s ervice award program, exit data tracking & analysis, adoption Program, corporate lactation program, the Wellness Studio, flexible work arrangements, speaker series, Kids Day, Take Our Daughters & Sons to Work Day, movie screenings, programs fairs, health screenings/flu shots, employee contests and employee discount program.
Responsibilities:
Employee Programs:
• Handle communication and administration of all Employee Programs in and also provide support to the regional offices on a regular basis. Market Employee Programs, by partnering with divisions and giving creative input on design and creation of promotional materials for events and programs. Work to ensure events & program has significant impact resulting in employee participation.
• Programs include Viacom’s child/adult care giving services, Employee Resource and Referral, EAP, flexible work arrangements, Viacom Wellness Studio, etc.
Leave Administration:
• Handle day to day FMLA leaves for all US employees. Be the first line of contact for any employee pursuing a leave of absence.
• This includes handling day to day employee leaves of absences including FMLA administration, ADA compliance, employee/manager consult meetings and serve as a strategic partner and employee advocate throughout employee’s leave of absence. Day to day management of the Leave of Absence mailbox and point of contact for Viacom’s Leave Administrator UNUM.
• Maintain appropriate knowledge of all employee benefits to ensure valuable voluntary benefits for employees.
• Provide advice, support and recommendations of complex employee relations issues. Provide coaching in areas such as investigations and compliance, FMLA/ADA compliance, conflict resolution and performance management. Strong partnership with Viacom Legal team.
Viacom Health & Welfare Benefits Administration:
• Assist with coordinating enrollment of project based employees in benefit programs, including responding to inquiries from employees, researching data issues and questions, reviewing communications for accuracy, and maintaining project plan for annual enrollment.
• Assist with coordinating Viacom’s COBRA process and maintaining compliance, including performing monthly reconciliation of COBRA participants with severance agreements to vendor records, respond to inquiries from employees and vendor, research data issues and questions. Serves as primary Corporate contact with business units on COBRA matters. Provide assistance with COBRA annual enrollment function, including development of communication pieces and maintaining project plan.
• Assist with weekly 401(k) plan processes, including payroll reconciliation, review of data issues and questions.
• Assist with annual enrollment for staff employees, including review and validation of vendor site for accuracy and completeness, review of communications and coordination of distribution, review and validation of vendor files, researching data issues and questions.
Additional Responsibilities:
• Ongoing tracking of metrics, internal utilization reports of all programs and exit data
• Participates in new employee orientation
• Assess current HR programs and identify gaps where change to current programs or development of new programs is needed. Work closely with Vice President on planning and executing programs and policies that continue to make Viacom as destination employer.
• Heavy interaction with employees at all levels in the organization, partnering across with Viacom, it’s divisions and with external vendors/partners.
Basic Qualifications
• 1-3 years of experience, preferably in Human Resources
• Bachelor's degree in Human Resources, Business, Communications, Marketing or related field
• Proficient knowledge of Microsoft Office
Additional Qualifications
• Knowledge of federal and state leave laws is preferred
Ability to manage heavy administrative workload while juggling multiple priorities appropriately
• Strong employee relations, customer service, interpersonal skills and continuous quality improvement skills
