Velvet Hammer Music and Management Group, a boutique artist management, record label, and publishing company based in West Hollywood, CA is looking to hire an energetic and self-driven full-time Office Manager.
This position demands a dynamic, detail-oriented individual with previous administrative experience. The Office Manager will report to the CEO as well as day-to-day managers, but will also double as our Internship Coordinator. General duties include: answering phones, scheduling/coordinating meetings, maintaining the office, coordinating team building activities, running our internship program, and managing overall day-to-day operations. Candidates must be proactive with a ''can-do'' attitude.
Essential Functions and Responsibilities:
• Answering phone calls, and greeting/directing visitors/clients appropriately
• Providing administrative support for managers as well as the CEO's assistant
• Organizing office outings, dinners, and other team-building activities
• Act as the key contact person for office related vendors on a regular basis (this includes negotiation/renegotiating bottom lines)
• Maintain office supplies and overall upkeep of the office
• Handling all incoming and outgoing mail for both our office and our artists
• File important invoices and other financial/legal documents while maintaining confidentiality
• Hire new interns, work with advisors throughout the semester, and act as the liaison between interns and the office
Education, Experience, and Skills Required:
• Experience working in a busy office (preferred), or a similar fast paced environment with high-pressure situations
• Superior attention to detail
• Excellent organizational skills and ability to manage a variety of tasks simultaneously and efficiently
• Ability to work individually and in a team environment
• Ability to handle sensitive information with extreme confidentiality
• Must be dog friendly. Some daily care and transportation of Executive's dogs required.
• Access to a car - some errands and driving required
• Proficient in Word, Excel, PowerPoint, and Outlook
