Full Time Job
Candidates for the Event Marketing Coordinator should be incredibly detail-oriented and independent workers who want to learn the ins and outs of the entertainment industry. Responsibilities include:
Events, Marketing and PR:
· Manage guest lists for domestic and international Variety franchise and sponsored events, including creation of lists, management of contact database, seating at events and communication with guests for events
· Assist with gift bag solicitation and fulfillment
· Liaise with internal team regarding special events including seating, RSVP process and follow up
· Assist with talent wrangling on site at events and studios
· Assist with talent logistics including booking cars, glam and travel arrangements
· Work closely with PR teams to manage press clippings and broadcast clips for events and festival
· Assist with collecting event deliverables
· Organize magazine distribution for all 200+ domestic and international industry events at events, film festivals and awards shows which includes entering orders, regular contact with clients ensuring we get the required activation and branding at their events and and following up to ensure issues have arrived at events
· Maintain bonus distribution lists including hotels, limousine companies and other local venues
Other Marketing Functions
· Create agendas for team meetings and schedule conference calls as needed
· Maintain marketing, software and vendor lists
· Manage marketing swag inventory including working with vendors on creating, ordering and maintain department inventory
· Research on industry events, competitive events and relevant marketing partners
· Assist on calls and liaise in meetings and calls and maintain notes and materials
· Assist with creation and maintenance of necessary documents, forms, databases and spreadsheets as needed
Qualifications
· 1-2 years' experience in an event/marketing related role
· Excellent communications and interpersonal skills to be able to work with all levels of the business as well as external individuals
· Extremely organized and punctual
· Ability to multi-task and handle multiple projects at one-time with a fast-paced environment
· Creative thinker with strong hands-on experience in planning
· Efficient in Microsoft Excel, Word and PowerPoint skills
· A positive and team player attitude
· An interest in the entertainment industry
