Description
The Sr. Royalties Coordinator is the SPOC (Single Point of Contact) for the Royalty & Copyright department and acts as a liaison for their group to address their needs from other departments.
Job Functions:
• Scheduling for SVP; Executive Staff (as needed).
• Scheduling department and executive staff meetings as needed.
• Coordinating travel for SVP; others (as needed).
• Processing Expense Reports for SVP & Executive Staff.
• Answering phones for SVP & other Executive Staff as needed.
• Publishing notes from Weekly Executive Staff Meeting.
• Support the SVP’s IT/tech related needs.
• Update and maintain Royalties’ Distribution Lists.
• Ordering product via eGratis for the Monthly Union Obligation.
• Ordering digital product via Aspen for Publisher Obligations.
• Track vacation balances for exempt employees.
• Process invoices in Uniport as required with input from the Vice President.
• Scheduling and support of quarterly All-Hands Meeting, Speaker Series, and other department initiatives.
Onboarding/Offboarding of all permanent & temporary resources; including sourcing of resources and equipment; liaising with IT/Facilities under supervision of Liz Staley.
• Liaison to IT:
• Under supervision of Executive Director, Technology & Training.
• Scheduling and ordering of both hardware & software for staff.
• Reporting issues with conference rooms, printers & other equipment.
• Coordinate and support ongoing IT initiatives.
• Liaison to Facilities:
• Reporting issues with bathrooms, kitchens, general floor maintenance, etc.
• Coordinating with security for onboarding/offboarding & visitors.
Job Requirements:
Skills/Abilities:
• Proficient in Microsoft Excel, Word, SharePoint, and Outlook.
• Advanced Outlook/Skype scheduling skills required.
• Excellent organizational skills and detail-oriented.
• Excellent written and verbal communication skills are essential.
• Ability to meet deadlines quickly and accurately, multi-task and work well under pressure with changing priorities.
• Overtime as required, including support of Month-End and Year-End activities.
Experience:
• Minimum 4 years music company experience.
• Minimum 4 years of experience in executive support.
Education:
• 4-year college degree; Entertainment Business preferred but not required
