Job title: Property Services Supervisor
Responsible to: Director of Property Services
Department: Property Services
Location of work: Universal Music Hayes and other London Sites
The A Side: A Day in The Life
The UK Property Services department looks after all building and facilities services across Universal Music Groups’ UK property portfolio. Our mission is to deliver a dynamic and innovative service that goes above and beyond to meet their needs. The Property Services Supervisor will be permanently based at Universal Music West London Site (UMWLS) but will also be required to visit the main UK office at 4 Pancras Square from time to time as required.
We deliver a quality service to staff and visitors alike, thinking in proactive and creative ways to drive value and service within a fun and creative environment. The Property Services Supervisor will be directly responsible for the management and operational delivery of the following services: Maintenance & engineering, Contractors management, Building projects (fit out, office changes) and fabric works, Fire safety and systems, Health & Safety, PPMs, Building fabrics.
The Property Services Supervisor must have a strong understanding of all services provided at UMWLS: Maintenance & Engineering, Fabrics, Cleaning, Security, Project Management, Landscaping.
The individual will have previous experience working with all areas of M&E, including chillers, FCUs, controlled environments, gas suppression and smoke detection systems. They will be responsible for ensuring that the site is managed effectively, and all systems are working to their optimum ability to ensure the controlled environment is kept within set parameters.
Responsibilities
will also include:
• Creating a PPM schedule and working with contractors to ensure all tasks are kept up to date, including: Fire systems, Chillers, AHUs, BMS, Boilers, Electrics, Security systems, Water testing.
• Project management
• Contractor management
• Health & Safety - Providing a safe and healthy environment for UMG’s employees and visitors
• Fire strategy implementation
• RAMS creation and management
• Day to day handy man responsibilities; Painting, changing light bulbs, Building fabrics, Moving palettes
• Fit out/renovation projects
• Being on hand to respond to issues/emergencies, including out of hours
• Working closely with off site management team
• Ensuring the site is compliant with current legislation.

The B Side: Skills & Experience
Be Knowledgeable
• Understand Gantt charts and project management tools
• Previous experience of managing Facilities / Property Services within an organisation
• Previous experience of managing sensitive assets (artwork, master tapes, museum items, etc.), desirable
• Sound knowledge of managing outsourced service providers
• Previous experience in project management
• Excellent problem-solving skills
Be Organised
• Experienced user of FM performance measurement systems
• Knowledge in setting up facilities systems and procedures
• Set a structured work method by implementing sound procedures
• Lead from the front by being punctual and working to the highest standards possible
Be Collaborative
• Proven experience of managing a large complex site
• Working closely with the onsite and offsite management teams
• Enabling a culture of open, informed decision making
• Communicate and influence effectively at all levels
Person Specification
Necessary
• Previous experience working within Facilities Departments
• A driving license and car
• Proven track record of managing out-sourced services
• Ability to work effectively both independently and as part of a team.
• Exceptional diplomacy and Influencing skills with good written and verbal communication and presentation skills
• Proactively promotes and drives change
• Achieves results through clear leadership and team working
• Ensures appropriate professional working standards are maintained
• Strong negotiating skills
• Member of the British Institute of Facilities Management (BIFM), desirable
• Holds NEBOSH and or IOSH H&S certificate.
