Job title: Commerce Assistant
Responsible to: Head of Streaming & Commerce
Department: Virgin Music Label & Artist Services UK
Location of work: Sarm Music Village, 105 Ladbroke Grove, London, W11 1PG
The A Side: A Day in The Life
Reporting into our Head of Streaming & commerce, in this role you are a key part of the Virgin Music UK commerce team, working closely with the Junior Commerce Manager & Streaming Manager.
Day-to-day, you will be responsible for assisting in all areas but particularly focussed on all administration & reporting duties.
The B Side: Skills & Experience
Be Organised
• Compile all relevant release information templates for communication to commercial accounts within a timely & professional manner including:
• Amazon marketing planner & SDQ forms
• HMV catalogue upload sheets & New Release planner
• Indies sell-in grid
• Supermarket new line forms
• Manage tour stock for artist & label partners - chasing tour stock requirements, setting up accounts, ensuring payments are made to keep in credit and chasing up deliveries
• Compile the weekly stock & sales tracker for the business & key label partners
• Compile & distribute weekly new release ships & stock to the business & key label partners
• Send out Caroline gig list to key contacts & compile ticket requests
• Compile & maintain the Virgin Music stock tracker, working with the Junior Commerce Manager & Head of Streaming & Commerce to set allocations by account
Be Administrative
• Compile & communicate weekly email reminder for physical salesnotes required for the next week’s pitching
• Compile retailer links for marketing teams to promote via Linkfire, newsletters, socials & websites
• Compile instores/outstores sales report on a weekly basis.
• Ensure all key accounts & indies team have access to forthcoming music in a secure, UMG approved format
• Compile weekly pre-order report
• Compile sales note and external schedule mailout to key partners incl. independent sales team
• Key partner stock sales report compiled & sent out weekly
• Create & maintain a weekly competitor sales report, recording week 1 sales by variant, complete with daily format sales splits & providing an overview of campaign activations
• Create Week 1 commercial round up reports for our key releases as well as key competitors
• Check OCC listing for our Priority releases weekly to ensure all formats & correct tracklist are submitted
Person Specification
• A passion for & good knowledge of the current music scene
• Strong communication and interpersonal skills
• An understanding & knowledge of the UK music retail landscape and the market they operate in is preferable
• Well organised with the ability to plan & deliver to tight deadlines.
• Excellent attention to detail
• Ability to take large amounts of information & extract the key parts to build concise, impactful reports
• Ability to interpret analytical data
• Ability to adapt to change in a positive manner
• Ability to remain calm under pressure, handling large amounts of communication at different levels in a positive manner
• Proactive approach to work, constantly seeking improvement in all areas
• Experience of working on own as well as part of a team, and with colleagues at all levels
• Excellent IT skills; must be proficient in PowerPoint or Keynote, Word, Excel, Google Docs
