Description
Job title: Charity Administration Assistant (Maternity Cover)
Responsible to: Chief Executive Music Sound Foundation
Department: Charity Office / Music Sound Foundation
Location of work: Kensington Village, W14
Main purpose of role:
The main purpose of the role is to work as part of a small team ensuring charity applications and enquiries are handled and processed effectively. Manage the departmental administration and assist in project work and other initiatives.
Key responsibili ties:
• Manage the diary and travel arrangements for the team, develop and maintain database and e-mail distribution lists, o rganise meetings , manage electronic and hardcopy filing systems, ensure office is fully equipped and restocked, undertake mailings, photocopying and distribution of all printed materials.
• Receiving and processing applications for financial assistance. Acknowledging and returning
incomplete forms. Entering data onto and maintaining the database.
• Responding to or delegating enquiries from the public, applicants and Trustees received by email or phone and delegating to the Manager as necessary. Managing the correspondence received through our enquiries email.
• Ensuring the website is updated and changes are regularly incorporated in conjunction with the Manager ; building and maintaining our presence on Facebook and managing mailing list updates.
• Building relationships with existing community partner organisations efficiently to ensure the charity is providing sufficient support . Build ongoing relationships with our Schools and Bursary Colleges .
• Assist the Manager in servicing the Board of Trustees, maintaining relationships with our Trustees and
providing them wi th applicant and school updates
• Research and be aware of all government initiatives and changes in educational policy to inform the
educational work of the charity.
• To design and facilitate internal charitable communications to the company using a variety of forms and managing internal fundraising events such as staff sales.
• Co-ordinating the work of volunteers and work experience candidates .

Essential

• Excellent project management skills, willingness to get involved in all projects .
• Strong analytical and report writing skills .
• Good time management, problem solving and decision-making skills .
• Strong and effective communicator (both written and verbal) .
• Ability to manage a heavy workload and work to deadlines both individually and as part of a team .
• Calm with the ability to produce highly accurate work under pressure .
• Previous experience of dealing with senior members of an organisation.
• Proven experience of working under own initiative and as part of a team.
• Excellent IT ski lls, especially in Word & Excel .
• Proactive approach to work, able to pre-empt problems before they occur.
Desirable
• An understanding of and interest in Music Education and charity work .
• Knowledge and ability to design marketing materials maintain websites and create E-letters .
