The A Side: A Day in The Life
The role is situated in the Global Supply Chain catalogue team, who are part of a department consisting of other supply chain functions including new release management, transport, customer services & bespoke product management all based in London. A similar team is also based in LA & together the teams form the entire Global Supply Chain.
The role predominantly reports into the Catalogue & Campaign Manager, as well as requiring direct lines of communication & task assignment from senior management either within the London based Catalogue team, or within our LA based Global Supply Chain. The head of the Catalogue team reports into the Global Supply Chain senior management team based in LA.
The role will bring you into regular contact with the supply chain team in London & across Europe & the US. You will also have day-to-day contact with the labels. The role will also have frequent interaction with all the vendors responsible for supplying Universal Music’s active physical catalogue.
The role may require occasional travel (Europe & Internationally) to support projects & tasks.
The B Side: Skills & Experience
Be Knowledgeable
• Using the Supply Planning Workbench tool, review all daily suggested orders, accepting or amending the orders as required to ensure the on-time availability of all Universal Music's live catalogue. You will use all available means of access to historical & current market data trends to support you in your procurement.
• Adjusting forecasts for all active products, in line with changes in demand, ensuring the Supply Planning Workbench tool has the most up to date & accurate intel to produce the most accurate & timely suggested orders.
• Supporting the decision making, process & execution of all deletions and relevant excess stock scrapping exercises in line with the guidance limitations as set by the management team. Also supporting the reworking of goods when required & the monitoring & decision making on returns processing.
• Where product specifications change through a products life cycle, update the bill of materials in CPRS to match the newly required specifications. Also take accountability to ensure downstream system (e.g DART) have the required updates needed to deliver their successful outputs.
• Subject matter expert for catalogue product management & tendering, responsible for the training of all the catalogue team as well as the process design, improvement & documentation.
Be collaborative
• Working with music labels, commercial teams & your peers within the varying markets, plan inventory availability for all products in a campaign using the Supply Planning Workbench & a combination of excel documents to ensure availability to campaign deadlines & milestones.
• Support the management team in identifying & creating appropriate process improvement drives across the department as well as capturing all documentation pertinent to ensuring processes are clear, actionable & useable for any new starters.
• Provide recurring or ad-hoc reporting as requested. Support the management team in compiling KPI reporting or the collation of data as set out by the management team for presentational purposes.
Be organised
• Ensuring the effective on time availability of all of Universal Music Groups live article base to pre-defined targets, while working inside of the obsolescence financial plans for that year.
• Monitoring the due dates & delivery schedules of all vendors, managing those vendors to ensure that the output ensures the availability metrics are achieved.
• Governing key master data fields like active status, minimum order quantities, lead times etc ensuring the product setup is accurate & supports your procurement needs.
• As required, updating product specifications for catalogue products using an inhouse tool (CPRS) to ensure that every component for every product is correct systemically & is priced accurately in line with our vendors' rate cards.
• Where pricing is no longer valid, using an in-house tool known as CPRS to review the bill of materials & amend the components as needed to maximise the potential for standard pricing of all active products.
• As required, updating product specifications for catalogue products, & where products contain unique components not priced within the vendors' rate book, successfully carry out a tender for pricing to ensure the most cost efficient & quality approved source of supply for catalogue bespoke products.
• As pricing expires on bespoke products with unique components, use the excel templates to create requests for quotes (RFQs) ensuring the best value supplier with the greatest quality for that specific product is updated as the vendor for that product. At all times ensuring the accuracy of the pricing throughout the products lifecycle.
Person specification
Essential
• Must have proven excel experience at advanced level.
• Outstanding with numbers & statistics.
• Understanding of key inventory metrics (turns, margin contributions etc),
• From the business side, being involved in or leading multiple projects, particularly around system implementations/roll out.
• Proven ability to quickly learn bespoke system tools.
• A calm exterior with an ability to prioritise, as day-to-day schedules can change quickly.
• An aptitude for attention to detail.
• Ability to maximise value added to every task (e.g. doing something to 80% accuracy quickly may reap better rewards than doing something 100% accurately but taking a much longer time).
• Excellent communication, problem solving & conflict resolution skills.
• Self-motivated with an inherent drive to achieve success.
• A willingness to learn new tools, including architecture, and become a subject matter expert to support others.
