Description
UMG Finance is looking for an administrative assistant to primarily support the SVP, Credit & Collections and secondarily provide support as needed for the Directors and Sr. Managers in the department. This person may also grow to handle lower level credit, claims and accounts receivables functions as needed to support the group during heavy workload periods.
UMG Finance encompasses all oversight of incoming and outgoing financial issues, applications and strategies, of which the Credit & Collections area is a major part of. Job Functions:
• Manage basic administrative duties for SVP including:
• Phones, mail distribution, filing and copying, travel, guest arrivals and meetings
• Scheduling meetings, coordinating social functions
• Prepare and follow through on expense reports
• Coordinate and distribute reporting and other interoffice correspondences
• Maintaining attendance records
• Liaise with other departments as directed by SVP
• Assist with special projects
• Support department in miscellaneous administrative duties including:
• Ordering and maintaining inventory on office supplies
• Receiving, filing and maintaining customer files
• Perform credit reviews including trade and financial inquiries
Job Requirements:
Skills/Abilities:
• Strong knowledge of the basic functions of Credit, Claims and Accounts Receivables
• Excellent in organization and multi-tasking
• Excellent communication (written and verbal)
• Ability to interact with people in multiple levels within and outside the organization
• Proficient in ten-key typing
• Excellent in Excel and Word
Experience:
• At least 2 years in a professional organization
• Some experience in a Finance or Finance related department or company
• Some experience in general administrative assistant work
Education:
• High School completion Required, 4-year college degree preferred
