Full Time Job
UTA is seeking an Accounts Payable Representative in our Los Angeles office. The candidate will report into the AP Manager and be responsible for coding and processing invoices and expense reports for all UTA divisions.
What You Will Do
• Review all invoices and payment requests for appropriate documentation and approval prior to payment
• Prioritize invoices according to cash discount potential and payment terms
• Code and enter invoices into accounting system
• Process check requests and generate check runs/EFT payments
• Audit and process credit card bills
• Review/process/research employee expense reports in Concur
• Responsible for vendor set-up, 1099/W9 maintenance, and year-end processing
• Ensure internal policies and approvals are followed
• Cooperate with vendors on all AP-related matters including billing discrepancies, payments, collection issues and ensure all aged bills are cleared in a timely manner
• Maintain accurate files with thorough documentation
• Assist with month-end and year-end closing
• Perform other special projects as needed
• Assist in administering UTA's credit card program
• Liaise with all assistants and agents on various questions that arise through the T&E process and help troubleshoot issues assistants/agents
• Assist in management of P-cards and miscellaneous departmental expenses and ensure that all expenses are consistent with budgeted figures by department
What You Will Need
• 1+ years of Accounts Payable experience preferred
• Bachelor's Degree in Accounting or equivalent field preferred
• Must have strong work ethics
• Must be well organized and a self-starter
• Detail oriented, professional attitude, reliable
• Proficient in Excel and Outlook, Concur and NetSuite experience a plus
• Thorough knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures
• Possess strong organizational and time management skills
• Strong research, problem solving, and resolution skills
• Strong documentation skills
• Adept at using and implementing new technology and applications
• Adept at working in a paperless environment, including use of scanners and OCR technology
• Ability to multi-task in a demanding environment
• Ability to communicate effectively verbally and in writing
• Ability to interact with employees and vendors in a professional manner
• Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness
