Assistant, Events – MediaLink, A UTA Company
The Role:
MediaLink's Events team is seeking an Assistant to join the team in Beverly Hills. This individual will support the Managing Director of Events and our Events Team.
Our Events team oversees multiple events, conferences, and client-focused activations throughout the year. This position requires strong organizational skills and unique creativity to oversee the management of heavy calendar scheduling, travel arrangements, and event planning.
You Will:
• Maintain Managing Director's contacts and calendars; manage heavy scheduling; submit expense reports, and coordinate travel
• Schedule virtual and in person meetings and calls for MD and larger team
• Maintain databases; research and track client and company-wide event logistics.
• Support the entire Events department in administrative duties when necessary
• Partner effectively with all levels of internal staff and external partners, and high-profile clients
You Have:
• 1+ yrs experience within a media, entertainment, or events-based organization
• Demonstrated experience maintaining a high level of discretion and confidentially
• Critical attention to detail and highly organized, while still thinking big picture
• Technical skills with Microsoft Office suite (Excel, Word, PowerPoint); Familiarity with video conferencing systems (Zoom, Slack, Concur, and Workday)
• Experience managing several projects simultaneously with minimal supervision
• Prior role where you managed daily schedules/calendars, as well as preparing for meetings.
• Detail-oriented organizational skills, as well as excellent verbal and written communication
