Full Time Job
UTA's Beverly Hills office is looking for a full-time Assistant to one of our Fine Arts Agents. The UTA Fine Arts group are experts on the world of art, representing some of the most accomplished contemporary artists working today. This group acts as a portal to the arts for the entertainment community with collaborations across film, television, digital, and other projects. UTA, Fine Arts offers UTA artists new possibilities for exploration and entry into new territory. The ideal candidate is passionate about Visual Arts, is comfortable providing general administrative support and thrives in a fast-paced environment.
Responsibilities:
• Serve as the first point of contact with VIP clients and executives
• Heavy phone management – answer and transfer calls, schedule & coordinate conference calls (including multi-party, multi-time zone conference calls)
• Calendar management – daily calendar management; update, cancel and confirm meetings. Scheduling and coordinate meetings, both in-office and offsite
• Expense reports - prepare monthly reports for review & submit to accounting for approval
• Travel booking and coordination
• Assist with events at the Artist Space
• Special projects
• Personal assistance as needed
• The ability to work unexpected frequent overtime
Qualifications:
• Preferred but not required BA/BS from an accredited University or College
• At least 1 year of agency desk experience, preferred
• Experience working at an art gallery, preferred
• Administrative experience supporting an executive in a fast-paced environment, preferred
• Knowledgeable and passionate about the Fine Arts space
• Outstanding written and verbal communication skills, excellent phone demeanor
• Excellent interpersonal skills, while understanding the importance of maintaining the confidentiality
• Must be reliable and possess good judgment
• Must be service-minded
• Ability to anticipate needs
• Ability to meet tight deadlines
• Strong attention to detail
• Computer literate (Microsoft Outlook, Word, Excel)
• Understanding of UTA's Client Roster, a plus
