The Job
• The department is responsible for the overall Human Resources function for the WarnerMedia Ent. HBOMax Product department
The Daily
• Provides the VP with administrative support including phones, scheduling appointments and maintaining calendars, messenger services, overnight mail, greeting guests, travel arrangements, submitting expense reporting, scanning, filing and archiving
• Serves as the main point of contact for most employee inquires
• Responds to employee questions regarding company policies and procedures, compliance documentation, benefits, PTO, payroll, etc. Researches and resolves payroll and position discrepancies
• Advises employees on how to navigate company processes to accomplish tasks by guiding them to the appropriate channels
• Looks into special requests and works with division partners in other functions (e.g. IT, T&E, Real Estate, etc.) to drive resolution.
• Serves as intake for lower-level ER issues and concerns
• May sit in with VP or Director in conducting investigations or responding to employee concerns
• Recruitment: submit job requests into various HRIS systems
• Partners with talent acquisition to manage recruitment reports on a weekly basis and tracks all open and posted positions
• Assists with writing job descriptions and position leveling
• Partner with the HRBP and participate in kickoff meetings and status update meetings
• Assists with bringing on vendors
• Sends out RFPs and evaluates vendor responses
• Selects best fits and summarizes findings
• Schedules conference calls with vendors to finalize selection
• Handles all training logistics including vendor payment, invitees, room booking, refreshments, etc.
• Sends out web-based training evaluations to employees and tracks training expenses against budgets
• Works with VP HR on reporting and analysis (i.e. payroll budgeting/forecasting and headcount reconciliation reports for division Finance executives, special headcount and staffing reports, employee surveys, turnover reports, etc), as well as creating various other roster and reports needed
• Owns the onboarding process
• Schedules employees for new hire orientation
• Handles all onboarding paperwork for new hires
• Handle all requests for computer, phones, email account, office space, parking location, building access, AmEx, office furniture, new hire paperwork, orientation, etc.
• Owns the offboarding process. Requests final checks, and collects back technology, liaise with IT facilities, process terminations and assists in conducting exit interviews
• Serves as central point in facilitating or getting necessary information or support from various WME parties including division management, Corp partners, HRIS, etc.
• Responsible for creating, maintaining and updating org charts
• Performs other duties as assigned
The Essentials
• At least 2 years' experience in Human Resources roles preferred
• High School Diploma required
• Must have strong organizational skills
• Expert level Excel skills are required
• Strong computer skills required, including Word, and Powerpoint
• Experience with personnel and payroll data systems (e.g. Peoplesoft and Work Day) preferred
• Strong verbal and written communication skills required
• Strong diplomacy and adaptability attributes to deal effectively with senior executives
• Must possess strong logic and reasoning skills
• Must have the ability to plan for, track, prioritize and execute multiple recurring and ad hoc tasks
• Strong analytical skills with extreme attention to detail
• Must have the ability to work well under time constraints
• Must have the ability to handle and maintain confidential information
• Must be able to work in a fast pace environment
• Must have the ability to take own initiative and work independently
