What part will you play?
This role will support the SVP of Human Resources as well as direct reports and goes beyond the traditional administrative tasks.
• You are THE go-to person on the team - so we are looking for someone who is polished, professional and eager.
• We want someone flexible, pro-active and able to prioritize while handling ever changing demands
• Given the level of deliverables required by the office, this position is a critical component of the productivity output for the team.
• Core responsibilities and contributions include managing the flow of all internal and external communications, strategically planning and prioritizing the calendar of meetings, activities, travel arrangements and interfacing with both internal and external clients to create the highest return on time spent, managing the schedule to focus on deadlines and deliverables.
What will you be doing?
• Coordinate scheduling and maintaining executive's calendar to optimize hours of day.
• Work to understand business to readily determine whether or not to accept a meeting request, or to know to request more information regarding the meeting request.
• Request contact information of meeting attendees for the executive to be prepared for future communication.
• Provide executive with detailed directions to meeting location.
• Answer executive's phone and obtain information from caller for executive to readily understand purpose of call and prioritize returning the call.
• Schedule executive's travel schedule to maximize time.
• If necessary, coordinate travel with other employees to reduce expense to company.
• Work to be cost-effective with expenses associated with travel and meetings.
• Maintain executive's monthly reports binder to be prepared for questions from company executives.
• Build strong interpersonal relationships with client counterparts, a key component to gaining access to executives.
• Work closely with SVP's direct reports (as well as their reports) to help them prioritize joint meetings, travel, access to core information and plans.
• Utilize relationships building skills to make key activities and requests happen.
• Manage executives T&E account.
• Preview CONCUR reports of executive's direct reports to verify appropriate account allocation and to conform to company policy before the executive reviews the reports.
• Handle all expense reports for Executives in CONCUR. Process invoices
• Coordinating and/or editing of presentations
• Coordinating executive's participation with industry association events as a panelist and/or board member.
• Purchasing and/or coordinating of executives' hardware (cell phone, laptop, printer, etc.)
• Coordinating executives' participation with boards, on behalf of company and outside of company.
• Developing and maintaining network/relationship with assistants of key clients.
What do we require from you?
• Associate degree preferred or equivalent experience.
• Minimum 5 plus years proven administrative experience supporting at the executive level.
• Experience coordinating varied executive travel arrangements.
• Proficiency with utilizing MS Office & technical knowledge.
• Strong interpersonal skills

• Must be MS Office proficient: Excel, Word, PowerPoint.
• High level of confidentiality required.
• You should be extremely organized and work efficiently in a very fast paced environment.

• Strong attention to detail.
• The ability to work independently as well as part of the team.
• You should have an ability to prioritize your work, so that you can handle many projects simultaneously under tight deadline.
