Trailer Park is currently looking for an Executive Assistant to support two senior executives. The right candidate will possess a level of maturity and be poised to handle a fast paced yet casual environment. The Executive Assistant will provide administrative and operational support. This is a high profile position, which requires an individual who is highly motivated and has the ability to be flexible with ever-changing priorities.
Responsibilities
• General administrative duties, including: managing calendars, answering phones, travel arrangements, prepare expense reports, reconcile monthly credit card expenditures, organizing conferences and large group meetings.
• Maintain up-to-date awareness of the executives’ obligations in order to proactively assist and/or anticipate needs.
• Maintain very demanding calendar; including appointment scheduling across multiple time zones.
• Serve as liaison between executive staff and other Trailer Park divisions.
• Participate in coordinating operational activities and corporate events within and outside the agency.
• Draft correspondence, internal memoranda and e-mail communications.
• Maintain client files and contact records.
• Submit travel and other business related expenses for reimbursement consistent with company policies.
• Greet and assist agency visitors and key clients by providing administrative support as necessary including travel, hotel accommodations, and restaurant reservations, etc.
• Be proactive and stay informed of company administrative policies and issues.
• Provide assistance on research projects and other projects as need.
• Perform other administrative responsibilities as needed.
Qualifications
• Minimum of 5 years as executive assistant supporting high level executives.
• Bachelor’s degree and related experience required. Candidate must be able to work independently while managing multiple projects.
• Ability to multi-task and have excellent follow-through.
• Self-starter with the ability to prioritize, organize and establish administrative procedures.
• Ability to handle confidential information and interact with high-level executives.
• Comfortable and confident working in different time zones and with various cultures.
• Ability to work in a high pressure and dynamic environment while maintaining a calm demeanor.
• Ability to think through, evaluate and solve problems logically.
• Ability to organize work effectively in order to meet deadlines.
• Conduct all matters in a professional and courteous manner.
• Flexible schedule required.
Knowledge/Skills:
• Impeccable oral and written communication skills are a must.
• Strong typing skills of 60 wpm; MAC proficient with solid skills in Microsoft Office.
• Must be extremely organized, detail-oriented and a team player.
