We are currently hiring for the position of:
SENIOR COORDINATOR, ADULT LEARNING
Reporting to the Senior Manager, Adult Learning, the Senior Coordinator will work in a fast-paced environment, coordinating research, outreach, and administrative oversight of TIFF's various Adult Learning on-stage programmes and initiatives. We are seeking applicants who have a strong interest and some experience working in film, education, arts administration and/or public programming. The position presents an opportunity for a person interested in film, public programming and education to gain further knowledge about these fields and to put into practice skills that they have learned in these areas.
Responsibilities
• Shall include but not be limited to…
• Provide programming, research, and general administrative support for TIFF's educational initiatives aimed at adult audiences, including Books on Film, Reel Talk - Contemporary World Cinema, Secret Movie Club, Special Events, and In Conversation With….
• Be the lead point of contact for hosts, guest speakers and film rights holders for Reel Talk - Contemporary World Cinema and Secret Movie Club.
• Along with the Senior Manager, Adult Learning, draft official invitation letters for prospective guests for all of the above initiatives.
• Oversee research on potential and confirmed on-stage guests for Adult Learning programmes, reflecting current issues and conversations in the creative industries.
• Oversee the preparation and delivery of onstage content, such as the preparation of clip reels and presentations by guest speakers.
• Along with the Senior Manager, Adult Learning, coordinate and administer programming partnerships with like-minded organizations.
• Liaise with select internal departments, such as Event Production, Film Office, Technical Production Services and Ticketing, about the administration and execution of Adult Learning events, and serve as the lead point of contact for internal stakeholders on the day of the event.
• Coordinate the critical paths for individual events and series with other internal departments, in particular liaising with Department 30 (Marketing, Communications, Digital Media) to align marketing and promotional priorities for Adult Learning initiatives.
• Administrative duties include booking and scheduling all confirmed events into TIFF's event management database system; maintaining tracking documents; filing and maintaining Adult Learning records and statistics for various internal stakeholders; overseeing the departmental Contra bookings with the Hospitality Partnerships team; sign-off on marketing materials and coordinating Adult Learning budget forecasts and financial reports for series and events within the portfolio.
• Contribute to departmental programming brainstorms for potential events and initiatives throughout the year.
• Supervise one intern and volunteers, as needed.
Minimum Requirements
• 3-5 years in film, education, arts administration and/or public programming
• Knowledge of and interest in contemporary world cinema and film history
• Previous experience with public/educational programming for adult audiences
• Previous experience with live event planning and execution
• Exceptional organizational skills and attention to detail
• Exceptional computer skills and database management (including Microsoft Word, Excel and PowerPoint)
• Exceptional research and writing skills
• Interest in arts and culture
• Natural ability to work efficiently on many projects with varying deadlines, and anticipate priorities
• Strong communication skills, with a focus on phone manner and interpersonal skills
• Ability to work independently and in a team environment
• Mature personal judgment, exhibiting a high level of professionalism and diplomacy
• Adaptable to a flexible work schedule including some evenings and weekends
