We are currently hiring for the position of:
MANAGER, FESTIVAL LOGISTICS
The Manager, Festival Logistics will manage and execute the logistical and non-technical event production elements of Festival activities and footprints at indoor and outdoor Festival venues. Ensures all Festival logistical event production elements including security are successfully managed, sourced, contracted, scheduled and executed on time and on budget.
This position will oversee the: Production Manager, Festival Screening Venues; Production Manager, Outdoor Festival Venues (Festival Street and David Pecaut Square); Administrative Coordinator, Logistics; and Coordinator, Festival Security.
Responsibilities
• Manage successful planning and execution of all non-technical logistics and production elements of Festival screening venues and Festival outdoor venues including site set-up, operations and teardown; outdoor venues include Festival Street and David Pecaut Square
• Hire, onboard, and manage new and returning seasonal staff and maintain appropriate staffing levels
• Oversee teams responsible for load-ins, setups, load-outs, day to day operations, staging, signage, storage, staffing, site management, traffic control, rentals, safety and security, emergency policies and procedures
• Develop, implement and manage operational plans, site layouts, builds, and production schedules with relevant internal and external stakeholders
• Collaborate on design of non-technical site/venue layouts, footprints, production builds, with relevant internal and external stakeholders
• Responsible for sourcing, costing, contracting, scheduling and executing logistics operations, equipment, services, and lane and street closures for all external venues and festival footprints
• Liaise with venue managers, property owners, business associations, community partners, City of Toronto departments and other stakeholders regarding site setup, site operations, transportation management planning Assist with managing vendor and supplier relationships and operations
• Oversee production meetings, production schedules, critical paths and key dates and deliverables
• Facilitate and lead communication and workflows as related to projects
• Source and research the event production impact of initiatives
• In collaboration with Senior Manager, approve operational plans for corporate partnership onsite activations and initiatives, providing innovative solutions
• Oversee the coordination of installation and activation of sponsor/partner footprints, including charging and collecting on incidental fees
• Manage operational relationships with external venue partners, vendors, neighbourhood stakeholders and government partners
• Manage the implementation of security and safety policies and procedures for Festival venues as they relate to; venue and site operations; talent management; escalation; emergency planning, preparedness and response; anti-piracy.
• Prepare pre-Festival reports and daily reports during Festival to keep management informed of activities
• Collaborate with internal and external stakeholders to ensure project goals and timelines are met
• Execute the highest services standards, policies and procedures for Event Production as they relate to the TIFF Visitor Experience Strategy
• Other duties as assigned
Minimum Requirements
• Minimum 4 years of experience in large scale project and production management of cultural or special events
• Minimum 2 years demonstrated leadership and supervisory experience, including leading and managing large logistics, production and/or operations teams
• Experience with outdoor event setups and operations
• Knowledge of venue operations with film festival experience an asset
• Extensive experience creating and managing detailed production schedules and overseeing budget, maintaining keen attention to detail while maintaining broad focus on priorities/objectives
• Experience working with programmers, visual artists, performers, sponsors/exhibitors, and/or cultural groups
• Familiarity with City bylaws and relevant legislation in the areas of Health and Safety, Employment Standards, Transportation, and collective agreements
• Ability to establish and maintain effective relations with multiple stakeholders, with an understanding and commitment to superior client servicing
• Experience working and negotiating with vendors and suppliers
• Excellent computer skills, including Microsoft Suite, Google products and internet tools
• Experience with design software (Adobe Illustrator, Sketchup, CAD) an asset
• Self-starter who takes initiative and maintains superior interpersonal skills, professional manner, and ''can-do'' attitude
• Able to adapt to changing priorities in a fast paced, high pressure environment
• Able to work independently as well as in a collaborative team environment
• Creativity to develop innovative solutions
• Maintains sound judgment and discretion
• Superior communications and public relations skills
• Ability to work full time, maintaining flexible workings hours, including some evenings and weekends
