We are currently hiring for the position of:
ASSISTANT, VOLUNTEER & INTERN RESOURCES
Reporting to the Manager and Coordinators, Volunteer and Intern Resources, the Assistants will work as a crucial part of the Volunteer Office team, which is accountable for the recruitment, orientation, training, scheduling and supervision of 3000 volunteers for the 2018 Toronto International Film Festival.
Responsibilities
• Provide ongoing administrative support in a busy office environment including: responding in a timely and tactful manner to a high volume of emails, phone calls and in-person inquiries; minute-taking for departmental meetings; and formatting departmental records (Excel spreadsheets, Google Docs, and volunteer management database)
• Assist with the intake of online volunteer applications, including screening and interviewing of candidates while adhering to strict timelines
• Accurately manage all departmental database information including maintenance of volunteer service records, volunteer schedules, performance notations and account updates
• Contribute to the development of surveys, orientation and training materials – including, but not limited to, generating content in Keynote, InDesign, Microsoft Word and Adobe PDF
• Assist in facilitating volunteer orientation and training sessions, including communicating TIFF Volunteer Programme information to large and diverse audiences
• Oversee individual portfolio of specific volunteer teams, including liaising with inter-departmental stakeholders on position descriptions and schedules, assembling the appropriate volunteer members for each team, and ensuring that all positions are adequately filled
• Participate in the training and supervision of interns, co-op students and volunteers working in the Volunteer Office
• Create a comfortable, inclusive and welcoming atmosphere where all staff and volunteers feel appreciated and engaged
• Prepare a detailed post-mortem report before the end of the contract
Minimum Requirements
• 1 or more years of proven experience supervising volunteers, co-op students or interns
• Highly proficient computer skills (knowledge of Keynote, Word, Excel, Gmail, Google Docs, InDesign etc.)
• Proven experience working with contact or scheduling databases (experience with an online volunteer management tool is an asset)
• Experience with basic video production and editing (i.e. iMovie, PremierePro) is considered an asset
• Excellent communication skills (through email, in-person, and telephone)
• Proactive, able to take initiative
• An exceptional eye for detail
• Previous experience maintaining a heavy workload, successfully overseeing multiple projects at one time
• Comfortable working in a fast-paced, open-concept environment and adapting to frequently changing priorities
• Comfortable speaking and engaging with large groups of volunteers and staff in a personable and professional manner
• Able to accommodate a flexible work schedule, evening work and weekend work is required
• Must be available for all 11 days of the Festival (September 6–16, 2018)
Contract Dates
• Contract 1: May 22 – September 21, 2018
• Contract 2 & 3: June 11 – September 21, 2018
