We are currently hiring for the position of:
FILM COORDINATOR, FILM OFFICE
Reporting to the Manager, Film Office, the Film Coordinator will be the hub for internal and external film stakeholders with regards to content and digital materials collection for films in selection and filmmaker guest coordination.
Responsibilities
• Shall include but not be limited to:
• Collect required digital materials for films in selection, to be used in TIFF's printed and digital publications
• Track the collection of digital materials ensuring that tracking documents are always up to date in order to be referenced by other internal teams
• Liaise with films in selection in order to confirm credit information, communicating all changes to internal teams in a timely manner
• Assist in auditing official Festival publications including press releases, printed programme book film pages and all film webpages
• Liaise with internal and external teams in order to coordinate guest travel, accommodation, ground transportation logistics as well as accreditation for guests with films in selection
• Provide exceptional service to filmmakers, programmers and invited guests, ensuring a positive experience from invitation to arrival
• Organize the accreditation and ticketing needs for guests with films in official selection
• Build detailed Festival itineraries for each invited guest
• Confirm filmmaker and talent attendance at official TIFF events
• Provide all film stakeholders with Festival toolkit providing general Festival information and answer any related questions in a timely manner
• Provide consistent and accurate reporting to the guest and to internal TIFF departments when required
• Provide on-site assistance to guests during the Festival for Guest Pass pick-up, tickets and general questions
• Provide a detailed Festival post mortem report
Minimum Requirements
• Eligible to work in Canada
• Minimum 2 years experience in arts and culture administration
• Intermediate knowledge of both Canadian and international cinema and film industries considered an asset
• Experience working for a film festival or large scale event an asset
• Experience booking international travel for individuals or groups an asset
• Excellent phone manner and written communication skills, as well as a knack for relationship building
• Enthusiastic, ambitious, self-motivated, and open to working in a team environment
• Excellent administrative and organizational skills, including a keen eye for detail and diligent record-keeping
• Strong computer skills a must (Internet research skills, Microsoft Office)
• Enjoys fast-paced, multi-tasking work environment, with a willingness to adapt to shifting priorities and circumstances
• Mature personal judgment, exhibiting a high level of professionalism and diplomacy, and ability to handle confidential information
• Handle emergencies, difficult situations and people with aplomb and grace
• Must be adaptable to a flexible work schedule including some evenings & weekends to meet deadlines
• Additional language(s) spoken would be an asset
