We are currently hiring for the position of:
Coordinator, Event Production
Reporting to the Senior Coordinator or Coordinator, Event Production, the Coordinator, Event Production contract position is responsible for supporting the Event Production department with coordination of events and administrative duties as assigned.
Responsibilities
• Shall include but not be limited to:
• Coordinate all aspects of production for events as assigned, including programme/itinerary, audiovisual/technical requirements, front of house, catering, facility/custodial/security services.
• Coordinate on-site production set up and close out of events as required.
• Serve as a hub of information and communication for internal and external event information, collection, and dissemination for TIFF Bell Lightbox internally programmed, 3rd party, and festival-related events.
• Liaising with relevant departments as pertains to Event Production processes and procedures.
• Fostering and maintaining good client, partner and venue relationships throughout planning and execution of events.
• Related administrative tasks, including administering purchase order requests, filing regular event reports, and working collaboratively with the Event Partnerships department to ensure timely and accurate processing of estimates, and invoices.
• Provide event reports and analysis to the appropriate management member.
• Other related duties as assigned.
Minimum Requirements
• University degree, college diploma or equivalent work experience
• Minimum 2 years experience in the area of event planning and event production
• Event Experience in cultural events, corporate events, festivals and hospitality a major asset
• Well developed verbal and written communication skills
• Strong project and people management skills
• Dynamic and outgoing personality with sound judgment, tact and discretion
• Well developed administrative and organizational skills with the ability to prioritize and manage concurrent duties
• Professional manner and ''can-do'' attitude, with ability to think on your feet and adapt quickly to change
• Excellent attention to detail, budgets, timelines, and objectives
• Knowledge of Microsoft Office, Google Products and database software an asset.
• Creativity to develop innovative solutions; knowledge of special events trends within the cultural sector
• Ability to both work independently and in a team environment as well as the ability to both take and give direction effectively
• Understanding and commitment to superior client servicing
• Well developed interpersonal and public relations skills to interface with senior corporate personnel, TIFF staff, volunteers, and other internal and external stakeholders
• Ability to work and respond well in fast-paced and high pressure environments
• Adaptable to flexible work schedule including some evenings and weekends
Contract Dates
• Contract 1 (18 weeks): July 9th to November 9th
• Contract 2 (18 weeks): July 9th to November 9th
• Contract 3 (13 weeks): July 9th to October 5th
