We have an exciting opportunity in Walt Disney Motion Picture Production – Creative Affairs for a Semi Sr. Secretary role.
The Semi Sr. Secretary position is an administrative support role covering phones, scheduling, expenses and other admin duties for 2 Creative Executives in Production (Live Action).
This position falls under the collective bargaining agreement of OPEIU (Local 174).
Responsibilities
• Rolling calls; maintaining call sheet
• Scheduling meetings and travel
• Maintaining calendar
• Preparing and submitting expense reports
• Representing the department in a professional manner
• Maintaining organizational documents and monitoring status of deliverables
• Assisting in the preparation of meetings
• Maintaining files
• Processing vendor invoices
• Coordinating domestic and international travel
• Reading submissions
Semi Sr. Secretary will also be expected to complete departmental projects on both an ongoing and as needed basis, including but not limited to:
• Attend ''assistant weekend read'' staff meeting and generate/maintain meeting agenda
• Assist coordinator with compiling research packets and weekly newsletter
• Help maintain release schedule, ''blue card'' grids, competitive development and writer/director tracking grids for department use
Basic Qualifications
• Demonstrated organizational skills• Superior attention to detail
• Ability to successfully coordinate multiple projects simultaneously
• Excellent communication skills, both written and verbal
• Strong computer literacy and proficiency with SAP. Working knowledge of Adobe, Illustrator, Keynote preferred
• Demonstrated ability to prioritize, meet deadlines, make decisions and change course of action quickly.
• Detail oriented with the ability to work well and maintain professionalism under pressure.
• Exceptional organizational and follow-through skills.
• Effective communicator, both verbally and written.
• Ability to work with confidential information.
• Positive attitude and the ability to be proactive, resourceful and flexible.
• Strong people skills, including the ability to work effectively as part of a team.
• Ability to take initiative and work with limited direction
Preferred Qualifications
Minimum of 1 year experience at a Studio, Production Company, Literary Agency or Talent Agency
Preferred Education
Bachelor's degree
