This Executive Assistant role is an administrative support position for the SVP & VP, Print & Digital Marketing at Searchlight Pictures.
Responsibilities:
• Manage calendar for executives, including coordinating, scheduling, and confirming meetings both internally and externally
• Coordinate domestic and international travel and logistics for both executive and talent
• Prepare and submit expense reports
• Process invoices and facilitate vendors with payment status
• Responsible for onboarding agencies into the finance system
• Manage phones, roll calls, and update phone sheet
• Develop and maintain a thorough familiarity with all projects occurring within the department
• Support departmental projects as needed, including, but not limited to, maintaining organizational documents and databases, and assisting in project research
• Prepare weekly round-ups for the internal team highlighting the latest in the world of marketing and branding
• Attend some staff and marketing/publicity meetings, document agenda items, and take notes
• Liaise with executives, talent, and other assistants, both internally and externally
• Represent the department in a professional manner
Basic Qualifications:
• Bachelor's degree or equivalent work experience
• Ability to work independently and proactively to solve problems
• Strong people skills, including the ability to work effectively and collaboratively as part of a team
• Ability to take initiative and work with limited direction
• Positive attitude and the ability to be proactive, resourceful, and flexible
• Detail-oriented with superior organizational skills
• Excellent communication skills, both written and verbal
• Enthusiasm for film and television, particularly specialty/arthouse films
• Strong computer literacy and proficiency with Microsoft Office and Keynote,
• Photoshop experience is preferred but not required
• Demonstrated ability to prioritize, multitask, meet deadlines, and change course of action quickly
• Ability to work with confidential information
• An interest in and familiarity with the Searchlight Pictures brand, culture, and its history.
• Passionate and curious about all aspects of marketing and branding
• Experience at a Studio or advertising agency is preferred but not required
