Description: The ideal candidate for this position has impeccable planning and time management skills and can organize and manage calendars, keeping scheduling operations running smoothly and efficiently for the CEO. This position is based in our West Hollywood office.
Basic Qualifications:
- Previous entertainment experience (preferably at an agency, management, or production company)
- Experience in heavy calendar management while scheduling key meetings and events
- Calm under pressure, sense of humor, and good with people
- Passion for and knowledge of the International film and TV landscape
- Must be able to handle highly sensitive information with utmost confidentiality
- Ability to constantly multi-task in a fast-paced, deadline-driven environment
- Willingness to work overtime and on weekends, specifically when dealing with international time zones
- Ability to work well in a fast-paced, deadline-driven environment
Responsibilities:
- Handle all administrative responsibilities for the CEO (scheduling a high-volume of meetings and international and domestic calls)
- Maintain a phone sheet and roll calls
- Make travel arrangements and prepare detailed itineraries during markets and festivals (such as Cannes, TIFF, AFM, Sundance)
- Manage daily office tasks such as keeping the office organized, as well as ordering kitchen and office supplies
- During markets and festivals, responsible for sending out info and scripts on new projects and/or requests for appointments (mass e-mailing) to buyers worldwide
- Assist in preparing screening and party invite lists in coordination with the sales team
- Provide creative input, script analysis, and notes for newly submitted material for development and/ or sales consideration
- Manage and actively update the CEO's sales book for markets and festivals
- Assist with hiring and the supervision of company interns
- Attend film markets, festivals, and company events as requested
