BEN is seeking an Office Receptionist to play an important role on our Shared Services team. The ideal candidate is organized, friendly, creative, detail oriented, and takes pride in a job well done. This role will focus on general office organization and light executive support, as well as function as the company liaison with building management and security. Responsibilities
• Meet and greet visitors and address with all inquiries in a professional and courteous manner
• Answer phones, direct calls, and take messages
• Arrange couriers and postal services and receive deliveries
• Sort and distribute the daily mail
• Place supply and snack orders
• Maintain and keep the reception area, conference rooms, and kitchen tidy
• Help organize office functions and company meetings
• Arrange travel plans and create travel itineraries, as needed
• Prepare expense reports and reconcile with account statement
• Prepare invoices and bills for Accounts Payable and Purchasing, gather approvals and provide budget coding
• Prioritize a demanding workload
• Assist with any special projects/events as needed
• Participate in training, productivity, and adherence to the policies and standards
Qualifications and Skills Required
• Bachelor’s Degree Required preferred
• 1 year of experience in an office setting
• Strong scheduling and coordination skills, and comfortable with last-minute changes
• Friendly and outgoing nature with a customer service-oriented approach
• Warm and professional written and verbal communication skills
• Proficient with Microsoft Office including Outlook, Excel and Word
