Ashlee Margolis, owner of The A List, a specialized communications agency, seeks a meticulous, hard-working and motivated assistant. Candidates must have excellent written and verbal communication skills and have the ability to keep up with an extremely busy, fast-paced office. Candidates must also have the ability to multi-task under pressure, as the position is challenging and high volume. Candidates will work independently as well as in teams, as the company is small and team members work together closely. Candidates must be willing to work late nights and weekends, and light travel may be involved. Most importantly, the right candidate will have the ability to wear multiple hats and should have an interest in working events.
Roles & Responsibilities:
-Oversee the calendar and schedules of meetings, phone calls, and action items of the Company and CEO's day-to-day
-Answering and directing incoming calls. Detailed note taking on phone calls
-Heavy scheduling
-Updating upcoming events list and distributing to the team each week
-Manage event RSVPs
-Updating and sending event status reports
-Assist with building event invite lists
-Restock office supplies as needed
-Check mail and collect bills, checks, etc. for business manager
-Provide support to company owner, as well as entire team
-Book travel and hotel for the entire team, including per diems
-Organize team outings, birthdays, parties, volunteer opportunities
-Assist with event production and logistics
-Provide accounting support
-Provide outreach support
-Assist with creation of press materials
-Update web content and database
-Manage facilities (including cleaning, construction and maintenance)
-Track deliveries sent to owner
-Send owner's packages
-Miscellaneous personal tasks
Requirements:
-1 year agency experience
-Bachelor's degree
-Positive attitude
-Strong writing skills
-Strong organizational and research skills
-Self-starter
-Resourceful and strategic
-Ability to handle face-paced environment
-Strong attention to detail
-Effective and transparent communication
-Confidentiality is a MUST
