Looking for a Mid-Level Production Coordinator/Booking Manager to help run the day-to-day operations of our multi-faceted film and photo studio, prop rental business, and artist studio building. Are you an uber-organized, personable and warm team player who loves managing moving parts? Perhaps a producer, logistics, or locations person in a prior life?
Who we are:
The 1896 is a woman-owned and run, pro-artist photo and film stage in the Bushwick Neighborhood of Brooklyn, NY. The 1896 planted its roots 13 years ago when the owner (a sculptor and scenic painter) saw potential in three gloriously-worn warehouses from 1896 - in the yet to be recognized neighborhood of Bushwick. Since then, the 1896 and Bushwick (our community) have blossomed. The 1896 now comprises 4 warehouses and an outdoor courtyard & alley, an on-site prop rental business, and 25 artist studios.
What do we do:
At The 1896 we do not produce content for film/tv/commercials...but rather we supply the stage space/ unique filming locations for others to film within. Our main business, typically extremely fast-paced, is in logistics, space-management, problem-solving and active negotiating of the rentals of our stage spaces.
What you will do:
As an 1896 Booking Manager, you will work with the Senior Booking Team to create superior, highly responsive and flexible experiences for our clients choosing to book us for their filming needs, as well as managing our prop rental business, and our artist studio building.
You'll dig into each and every facet of the complexities of running a 120 year-old, 33,000 square foot building and all the positions within. You'll begin with the routine duties of minding a and gain a thorough understanding of the expectations, standards and detail needed to keep this ship afloat. Your main priority will be to never let a booking or opportunity fall through the cracks for someone who wants to shoot here, and fill it as often as possible with as many creative aspirants as she can take. You'll return each day to the care of the actual buildings of The 1896.
Duties and Responsibilities:
•Daily and often minute-to-minute support of the Senior Booking Team in the Assessment and Strategizing of the Booking Calendar to maximize potential bookings
•Effective/ timely response to Client inquiries and logistical needs to maximize bookings and the client experience
•Collaborate and Communicate as part of the Booking Team to meet our booking and service goals
•Maintain staff schedules and readiness/ on-call calendars for booking, office coverage and stage maintenance and care.
•Generate, follow through and report out in a timely manner on assigned personal ''projects''
•Task out ''projects'' to Assistants and Cleaners and follow-up on completion with feedback
•Supervise Assistants and Cleaners to ensure adequate facility, administrative and booking support according to the aesthetic and service 'standards' of The 1896.
•Train new Assistants and Cleaners and provide feedback with recommendations on next steps
•Maintain good team cohesion
Day to Day Operations -
•Present 1896 assets to interested clients, negotiate and secure bookings, producing the best results for the business
•Interface with clients on site during bookings and site visits, enforcing a thorough understanding of protocols, policies, use of space.
•Use knowledge of rates / quoting to make mid-level day-of $ adjustments
•Resolve any issues on the spot with infrequent need of upper management for shoot related issues
•Build personal and special client relationships
•Maintain effective information management, booking calendar updates and real-time information, report outs and documentation
•Maintain client leads, negotiations and deals with a constant focus on progression
•Perform Administrative needs of booking including contracts, invoices, maintaining our interoffice communication platform (Trello) for each active shoot
•Daily Phone, Email correspondence
•Timely processing of client correspondence - from rental requests to post rental invoicing.
•Facilitate prompt and effective internal staff coordination and communication on policies, scheduling and goal achievement
•Consult with Senior Booking Team to manage and perform marketing campaigns
•Research and develop new systems that will benefit the team
Property Management and Maintenance:
•Daily opening and securing of facility
•Ensure the readiness of 1896 facilities, staffing, and resourcing for all bookings
•Consult with Senior Booking Team to strategize Client Needs, Space, Cleaning & Staffing Logistics
•Ensure property/resource availability, cleanliness, maintenance, inventory, repairs, and general readiness
•Get physical and get dirty when the business necessitates.
•Manage studio and prop rental requests, upkeep and renewal, invoicing, leasing, and payments
•Maintain partnering agreements with prop and equipment vendors
•Coordination and oversight of contract services
Qualification Requirements:
•Great communicator, easy to read, at ease with the constant exchange of information
•Team player
•Ability to Prioritize and shift priorities when necessary
•Ability to Adapt & Respond to shifting client needs, changes in negotiations
•Ability to working under pressure while remaining calm and confident
•Understanding of urgency

•Understanding of Visual information and Logistic mapping
•Ability to shift gears while retaining a running list of what has to be returned to
•Ability to shift gears while keeping all balls in the air

•Comfort and ease with computer programs -google suite, dropbox and MS office
•Attention to detail
•Note taking and retention of information - remembering solutions to previous problems
•Client relations - ability to properly and strategically personalize emails/discussions with clients
•Ability to negotiate, assess and create bookings
•Ability to nurture and produce long lasting relationships with clients
•Taking ownership of shoots/clients
