JOB SUMMARY: The Legal Operations Specialist will work with the in-house legal team and will be involved in the entire spectrum of the business' legal and compliance needs. Once hired, this individual will be responsible for managing several legal systems and responses, accomplishing various operational tasks, and completing special projects efficiently and accurately in cooperation of the legal as well as with business partners from across the organization.
ESSENTIAL FUNCTIONS OF POSITION INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:
• Responsible for evaluation and response to all third-party subpoenas from courts, agencies, law enforcement and law firms
• Responsible for identifying need for litigation holds and drafting, implementation and coordination for all litigation holds
• Responsible for retaining and relationship with off-site document storage vendor as well as management of all off-site corporate documents
• Responsible for analysis and tracking of legal metrics, including litigation, spend budgets; creating reports related to legal metrics and recommendations for changes or improvements
• Responsible for retaining and relationship with statutory agent and responsible for approving all entity-level invoices related to statutory agent fees
• Responsible for various special legal projects
• Responsible for various operational tasks and processes in coordination with the legal team, including, but not limited to, the following:
• Standard contract review and drafting
• Contract research and review projects
• Entity management, status monitoring, and statutory filings (including DUNS, SAM, etc.)
• Research involving corporate entities
• Preparation of various corporate documents
• Corporate minute-taking for various subsidiary organizations
• Responsible for monitoring and ensuring quality of documents being created and saved in our enterprise content management system, including ensuring that each legal entity has the documents necessary to retain in a corporate minute book
• Coordinating meetings, drafting correspondence & organizing company documents
• Legal Tracker and electronic billing system oversight and administration; will work with outside counsel to ensure all billing arrangements are properly documented
• Maintaining legal department calendar and related MLB compliance and reporting dates
• Demonstrates skill in managing multiple tasks, priorities, and deadlines.
• Demonstrates the ability to be discreet and handle confidential and highly sensitive information with the utmost care.
• Demonstrates the ability to communicate clearly and effectively, both verbally and in writing, with attorneys, vendors, and internal team members at all levels.
• Demonstrates ability to act independently and make independent decisions regarding important legal and compliance matters.
• Shares learned knowledge, with the ability to create a culture of growth, development, collaboration and accountability.
• Demonstrates the ability to establish and maintain effective partnerships within and outside the organization while consistently adhering to high standards of ethical behavior, confidentiality, and professionalism.

• Additional Duties to be assigned as needed.
PREFERRED QUALIFICATIONS:
• Excellent communication, comprehension, computer and interpersonal skills.
• Must have the ability to speak, read, write and understand English, proficiency in Spanish a plus.
• Excellent internet and computer skills (including advanced proficiency level with Microsoft Office tools), technology & research skills.
• Strong organizational skills, detail orientation, and project management abilities.
• Exceptional communication, research, problem-solving skills
• Basic understanding of court and administrative proceedings and documentation.
• Thorough understanding of lawsuit summaries, litigation files, and proper maintenance of all legal records.
• Basic understanding of corporate compliance and transactional law
• Excellent interpersonal and customer service skills.
• Excellent time management skills with a proven ability to meet deadlines.
• Strong analytical and problem-solving skills.
• Ability to function well in a high-paced and at times stressful environment.
• Ability to maintain confidentiality, and to exercise discretion and good judgment.
• Proficient with Microsoft Office Suite or related software; and Worldox or other related document management software.
• Experience with Ironclad, Monday.com and Box preferred.
• Bachelor's degree required. Minimum of 5 years of work experience at a large law firm or corporate law department, or similar experience.
