Full Time Job
Overview:
As our Year-Round, Events Coordinator for the Institute's Labs, intensives, and workshops, you will be a pivotal member of our Artist Program's Operations team.
The ideal candidate will have a strong background in events and guest relations. This position will focus on coordinating air and ground travel, and other operational functions for Sundance Institute's artist programs to provide guests, staff, and artists with a positive experience.
You will work full time in our Park City, UT office when not traveling or working onsite for Labs and workshops. Additionally, you will travel and work onsite during residency labs for up to three months per year. Accommodations will be provided when working onsite.
Extended hours, including evenings and weekends, will be required at key points throughout the year.

Things on Your To-do List:
You will:
• Liaise with travel vendors as it pertains to air and ground transportation.
• Serve as the point person for a number of communications with our guests, artists, staff, etc.
• Manage our travel and logistics budget and schedule logistics.
• Prepare participant check-in items, e.g. credentials, agreements, information packets, etc.
• Execute onsite check-in at assigned residency labs to ensure organization, streamlined process, and positive guest relations experience.
• Create metrics documents and actuals for summer labs budget, including invoices, reconciles credit card statement, travel expenses, and petty cash.
• Update departmental procedural documents, manuals, handouts and emails as directed.
• Support all areas of operations as directed, e.g. coordinating rooming lists, planning for meals and events, setup/teardown.
Skills
You'll Need in Your Toolbox:
• 2 years experience in event planning, operations or related.
• Strong attention to detail and accuracy in recording, tracking and issuing information, etc.
• Ability to collaborate with others and work professionally within a multi-department, team-based environment.
• Outstanding communication skills (verbal and written) and strong interpersonal skills. Demonstrated ability to prioritize and meet multiple deadlines and handle a variety of tasks simultaneously.
• Proficiency in Microsoft Office, FileMaker, Excel and Google Applications.
• Ability to work nights and weekends around events and key deadlines.
