POSITION OVERVIEW
We are looking for the Coordinator, Episodic role to become the newest team member of our Feature Film Program and support Sundance Institute's commitment to advancing the work of independent storytellers in the world.
The Coordinator, Episodic Program will provide project coordination and administrative support to the Episodic Program, including supporting the team with scouting, tracking, cultivating, and supporting the program's artists. The ideal candidate has prior experience reading and evaluating scripts and providing coverage, knowledge of the TV Industry, strong attention to detail, and outstanding written communication skills.
Working closely under the direction of the Manager, Episodic Program, the coordinator will act as the initial point of contact for industry members and represent the Episodic Program. The coordinator will also be instrumental in drafting correspondence, gathering artist bios and loglines, and providing general administrative support. This position works full time in our Los Angeles, CA office when CDC restrictions lift. Extended hours, including evenings and weekends will be required at key points throughout the year. Travel to the Festival and Labs in Utah, and other office locations will be required.
Top priorities for this position include, but aren't limited to:
Episodic Program Specific Support:
• Facilitate communications with Fellows, Creative Advisors, Industry Mentors, Panelists, Funders, and the Selection Advisory Committee to answer questions, collect lab materials, identify and track their needs, process and collect agreements, gather and track responses.
• Collect information, and/or write and edit program publications, bios, loglines, synopses as directed, route for approval, and partner with marketing to drive social media efforts throughout the year.
• Participate in the evaluation process for program submissions; read, evaluate, and make final selections with the team.
• Serve as the initial point of contact and program representative with Industry Members, including studio executives, producers, and artist agents and managers.
• Identify unique talent with a focus on women and diverse voices within the episodic space and conduct outreach to these individuals, their representation, etc. to promote programs.
• Provide support to alumni, including feedback on new drafts and assist them by drafting letters of recommendation for funding and fellowship opportunities.
• Coordinate the intake and reading process for Episodic: Pilot to Series and Episodic: Idea to Pilot submissions, including updating online application, tracking materials, corresponding with applicants, etc.
Administrative Support:
• Coordinate a full range of departmental administrative duties for a very busy office, including maintaining multiple google calendars, timelines, scheduling meetings, slotting participants of the program, booking travel, processing expense reports, drafting correspondences, in addition to others.
• Assist with special projects as assigned, including collecting metrics, generating reports, etc.
• Provide onsite logistical coordination and support during festivals, workshops, and panels collaborating with multiple departments to meet deadlines, set schedules, and ensure the needs of attending Fellows and Advisors are met.
• Process reader independent contracts and granting through HR and Finance and ensure associated paperwork is processed and invoices are paid within 30 days of the completion of work.
• Maintain Director's emails and handle follow-ups.
• Track a running To-Do document within the department.
You have the following direct or transferable skill-sets:
• Legal authorization to work in the United States.
• Two years of administrative, nonprofit program coordination, agency or management experience.
• Experience reading and evaluating scripts and providing coverage.
• Strong attention to detail and accuracy in recording, tracking, and issuing information.
• Outstanding verbal and written communication and interpersonal skills required to work effectively with a wide variety of people.
• Working knowledge and proficiency in Google Products.
• Excellent organizational skills including self-management of work schedule and the ability to multitask in a fast-paced environment.
• Must be able to maintain confidential information.
• Ability to work nights and weekends around events and key deadlines.
• Interest and knowledge of the TV industry, including agencies, studios, networks and production companies.
• Bachelor's degree preferred.
• Knowledge of the episodic digital space, including creators, websites, and digital networks and a background in the TV industry preferred.
• Experience using SurveyMonkey Apply and Filemaker preferred.
