Full Time Job
Employment dates: Monday, December 2, 2019 thru Tuesday, February 4, 2020.
Pay rate: $13.00 per hour
Considerations: This position works full time out of our Park City, UT office. Required to work extended hours, including some evenings, weekends, and holidays to cover a high call volume. Must be willing and available to respond to on-call needs as assigned.
Position Summary: Handles incoming calls, greets visitors, and maintains clean and organized office facilities while performing general administrative duties to support staff.
Duties and Responsibilities:
• Welcomes, greets and assists all visitors (customers, clients, vendors, employees and other guests) and maintains a professional reception area.
• Opens office at the beginning of the workday and secures office at the end of the workday as scheduled.
• Exhibits a willingness to work with others in a patient and collaborative manner.
• Answers all incoming calls to the Institute lines quickly and efficiently in the utmost polite and professional manner. Transfers calls to the appropriate location as directed.
• Retrieves messages from general voice and email boxes and distributes or answers as appropriate.
• Distributes incoming faxes to the appropriate recipients.
• Stays up to date on Institute general information, programs, submission timelines, deadlines, application details, etc.
• Answers and fields general questions from callers, visitors and guests.
• Ensures coffee and water is offered and available for guests and meetings.
• Assists staff with preparing, notifying and tracking couriers, FedEx, USPS (regular and bulk mailings) and UPS as requested.
• Assists with maintaining an organized office environment by keeping the reception area, kitchen, office supply closets, mailroom and conference rooms neat, clean and inviting throughout the day.
• Maintains proper supply levels in kitchen, bathrooms and supply rooms.
• Makes coffee, empties and loads dishwasher daily.
• Ensures conference rooms are neat and tidy throughout the day and assists with scheduling rooms.
• Clears out and stocks paper in main print, copy and fax areas.
• Assists staff with general office projects from the front desk, such as mailings, creating packets, research, etc.
• Other duties as assigned.
Position Requirements:
• Legal authorization to work in the United States.
• 1-year experience working at a reception desk or related.
• Outstanding communication skills, verbal and written.
• Strong interpersonal and professional skills required to work effectively with a variety of people.
• Excellent organizational skills including self-management of work schedule.
• Must be able to maintain confidential information.
• Ability to work nights and weekends around events and key deadlines.
Preferred Education
, Experience, and Skills:
• Working knowledge of Google Products.
• Knowledge of the independent film industry.
