Seasonal Festival Liaison and Coordinator, Artist Relations Administration
POSITION OVERVIEW
The Festival Liaison and Coordinator, Artist Relations Administration acts as a Festival host for an assigned group of guests and artists who have been invited to participate in the official Sundance Film Festival program and provides key administrative support to the department.
Working closely under the direction of Manager, Artist Relations, you will support Sundance Institute's commitment to providing an excellent experience for our artists, whether the Festival hosts screenings and events that are theatrical (live), digital, virtual, or any combination thereof.
This full-time, temporary position is based out of our Park City, Utah office from Wednesday, November 3, 2021 through Wednesday, February 9, 2022 with regular opportunities to work from home. Additionally this role may be lodged in Park City during the January Film Festival. This position will be required to work extended hours, including some evenings, weekends, and holidays to meet deadlines and must be willing and available to respond to on-call needs as assigned.
Top priorities include, but are not limited to…
• Coordinating departmental administrative needs as assigned, including scheduling training, processing department invoices and stipends, etc.
• Sending departmental communication to internal stakeholders as directed.
• Preparing department meeting agendas, materials, and scheduling meeting space.
• Maintaining department calendars, timelines, and resource documents ensuring accurate information.
• Processing department-wide information and data collection, and providing direct support to Festival Liaisons.
• Initiating communication and a working relationship with assigned Festival guests and artists, after they have been invited by Festival programmers and Institute programs.
• Collecting, entering, and maintaining accurate guest and artist information in the Festival database and tracking documents.
• Coordinating all guest and artist benefits which may include; screening tickets, credentials, stipends, booking travel, arranging lodging, and coordinating ground transportation, or mailing Festival materials and items.
• Accurately tracking and maintaining assigned category budget.
• Gathering Festival guest and artist information for Festival publications and online site, and proofread content before print and launch.
• Creating a complete Festival schedule of events for each attending guest and artist.
• Acting as Festival host for each assigned guest and artist, including providing a Festival orientation, and being on-call to ensure guests and artist's have all the information and support they need before, during, and after the Festival.
• Sharing screening and event invitations and acting as host and facilitator at theaters or event venues in-person, on the phone, via Zoom, or on our online Festival platform.
• Assisting the Manager with selecting, training and directing Festival volunteers, helping to provide feedback, track hours, and manage them successfully.
• Acting as Headquarters Supervisor during Festival; facilitating setting up the space, opening and closing on time, ensuring deliveries are made, and that the space remains organized and operational.
• Writing a complete wrap-report, that includes archiving relevant documents and information in the Festival database and appropriate tracking documents.
• Coordinating thank you emails and post-Festival surveys for guests and artists, and finalizes any outstanding correspondence, and department accounting.
You have the following direct or transferable skill sets:
• Legal authorization to work in the United States.
• 2 years experience coordinating guest and artist relations and services including, communication, travel, benefits, hosting and operational support, or related.
• Outstanding verbal, written, and interpersonal communication skills to work effectively with a variety of people.
• Excellent organizational skills including the ability to self-manage a work schedule.
• Ability to maintain confidential information.
• Working knowledge of databases along with proficiency in Zoom and Google Products preferred.
• Experience proofreading online and print content preferred.
• Proficiency in efficient and accurate digital communication tools preferred.

• Successfully keep track of and meet all applicable deadlines, keeping the department organized and on task, and provide general support to the department leads and Festival Liaisons.
• Successfully manage any assigned film teams or guests, providing them with accurate information, ensuring that they feel supported and have a clear understanding of expectations of them before and during the Festival.
