POSITION OVERVIEW
The Festival Coordinator, Volunteer Resources will drive all processes related to recruiting and onboarding volunteers for the 2022 Sundance Film Festival.
Working closely under the direction of the Manager, Volunteer Resources and Senior Manager, Talent, the Festival Coordinator, Volunteer Resources supports Sundance Institute's commitment to recruiting and retaining outstanding talent to join our teams. This position will work with a large group of assigned volunteers to provide excellent support and communication for the Institute's volunteers. The Coordinator, Volunteer Resources will work within a team and may be assigned to coordinate volunteer efforts for Online Volunteers and In-Person volunteers, including those in Park City, Salt Lake City, and the Sundance Mountain Resort.
This position will work primarily out of our Park City, Utah office, with regular opportunities to work from home from Wednesday, October 27, 2021 to Wednesday, February 16, 2022. The role may also be required to travel to offsite events and work extended hours including weekends to meet key deadlines and respond to on-call needs as assigned.
Top priorities include but are not limited to...
• Driving the full cycle recruitment process, including sourcing, assessing volunteer applications, interviewing, and placing volunteers to best meet the needs of the Festival.
• Working with assigned Festival teams to understand their needs and place qualified candidates in roles.
• Fostering strong relationships through all forms of communications with all candidates and assigned staff teams.
• Communicating clearly and consistently with Festival teams regarding their volunteer needs and placement.
• Providing support as well as accountability with Festival teams to ensure alignment with department processes.
• Providing ongoing and accurate information to assigned groups of volunteers (350 ) and timely responses to their inquiries.
• Generating, issuing, and tracking onboarding paperwork.
• Communicating expectations and accountability on a regular basis with volunteers to support an effective and positive volunteer experience.
• Assisting with tracking, building, and facilitating training sessions.
• Auditing, tracking, and monitoring volunteer schedules, attendance, and absences via our online scheduling system, Shiftboard.
• Establishing and maintaining partnerships internally and externally with universities and community organizations to build talent pipelines.
• Ensuring compliance with federal, state, and local requirements and laws and that Institute recruitment and selection guidelines are followed.
• Entering information in volunteer databases daily, maintaining up-to-date and accurate information.
• Ensuring Festival teams are empowered to provide comprehensive feedback to volunteers and hold them accountable.
• Tracking and distributing volunteer benefits based on volunteer commitment levels
• Conducting venue visits throughout the Festival to check-in with volunteers and provide timely resolution to challenges as they arise.
• Providing on-call after hour coverage during the Festival to answer volunteer related questions, concerns, or emergencies as necessary.
• Reviewing submitted volunteer evaluations with departments and conducting follow-up to compile relevant information as needed.
• Supporting ongoing Talent Team and Festival projects.
You have the following direct or transferable skill-sets:
• Legal authorization to work in the United States.
• 1-2 years of related work experience.
• Excellent written, verbal, and interpersonal and communications skills to effectively influence individuals of varying backgrounds and learning styles.
• Ability to maintain confidential information.
• Excellent organizational skills, with the ability to manage multiple projects and prioritize.
• Proficiency in Google and Microsoft Office applications.
• Must be a self-starter with strong analytical skills.
• Experience with Shiftboard and FileMaker Pro a plus.
• Prior experience working with volunteers a plus.
