Employment dates: Wednesday, September 4, 2019 thru Friday, February 21, 2020
Pay rate: $17.75 per hour
Considerations: This position works full time out of our Park City, UT office. Required to work extended hours, including some evenings, weekends, and holidays to meet deadlines. Must be willing and available to respond to on-call needs as assigned. A high level of mobility is required as well as an ability to drive safely in winter road conditions.
Position Summary: Manages the planning and execution of tent pole events for the Sundance Film Festival, including the Artist at the Table benefit.
Duties and Responsibilities:
• Plans and manages deadlines for opening night fundraiser, An Artist at the Table.
• Manages the operational and logistical needs including planning to execution.
• Coordinates visits with internal and external stakeholders to venue to identify floor plans, tech needs, staffing support, design, decor, etc.
• Collaborates with internal and external stakeholders to ensure all logistical/operational deadlines are met.
• Manages onsite direction and coordination including: volunteers, assigned staff, food and beverage, vendors, etc.
• Trains, provides general supervision, creates schedules, and ensures evaluations are completed for assigned department volunteers.
• Manages expenses against projected and actual budgets and supports Associate Manager, Event Guest Relations with processing and tracking department budget and expenses as requested.
• Collaborates and has consistent communication with Associate Manager, Event Guest Relations to ensure revenue and expenses are on track.
• Develops and executes event programs, e.g. run of show, program remarks, etc.
• Maintains a positive and professional rapport, provides timely communications, and addresses feedback/issues with vendors.
• Documents event in detail, including photos, BEO, evaluation sheets, layout, processes, correspondences, issues, etc.
• Supports communication and material needs for Event Chairs, Board of Trustees, and event sponsor(s) as directed.
• Supports departmental projects, including data collection, digital folder organization, Institute wide calendar updates, etc., and other team members with event planning and execution as directed.
• Completes a comprehensive written wrap report as directed.
• Other duties as assigned.
Position Requirements:
• Legal authorization to work in the United States.
• Valid driver's license and successful completion of DMV background check.
• 3 years experience planning and executing events.
• Outstanding communication skills, verbal and written.
• Strong interpersonal and professional skills required to work effectively with a variety of people.
• Excellent organizational skills including self management of work schedule.
• Must be able to maintain confidential information.
• Ability to work nights and weekends around events and key deadlines.
Preferred Education
, Experience and Skills:
• Working knowledge of databases along with proficiency in Google Products.
• Experience in large scale event production.
• Experience working with donors and board members.
