POSITION OVERVIEW
The Manager, Guest Operations is charged with managing the air, ground, and lodging experience for designated guests of assigned residency labs, workshops, and other program activities, including the Sundance Film Festival. The guest experience travel protocols will also be extended to Institute staff on a year-round basis, as well as seasonal staff and volunteers when applicable. This position will oversee one direct report.
Working closely under the Senior Manager, Guest Operations, the Manager will focus on the planning and implementation of the participant registration process and guest relations experience, as well as planning and executing external travel. This full time position is required to be based in the greater Salt Lake City, UT region in order to work onsite and extended hours, including evenings and weekends, at key points throughout the year. This position may also be required to be lodged onsite at the Sundance Mountain Resort for four to six weeks to execute the summer Labs. A valid driver's license and successful DMV check is also required.
Top priorities include but are not limited to…
• Managing air travel, ground transportation, and lodging accommodations for designated guests and staff, and food and beverage considerations as needed.
• Enforcing all policies and procedures to ensure consistency across programs, staff, and guests to budget accurately, track expenses, and ensure adherence.
• Supervising and conducting the process for and onsite execution of guest check-in.
• Managing the tracking of accurate and up-to-date guest information in departmental databases for historical and analytical record keeping, including meal and lodging numbers, participant attendance, and demographics.
• Managing the department Visa account and bills, updating and projecting expenses, managing petty cash, and administering stipends and honorariums while adhering to procedures as outlined by the Finance Department.
• Developing new and cultivating existing relationships with hotel, catering, event, air and ground transportation vendors; negotiating rates and managing contracts by submitting to the Legal Department for review, issuing and collecting signed contracts, and processing invoices.
• Liaising with Hess Travel and training staff on working with our travel agency and our booking platform, Concur.
• Contributing to the creation of departmental policies and procedural documents, manuals, handouts, and emails, including collaborating with technology services annually to review systems, streamlining data flow and reporting, updating database fields, and proactively accommodate operational growth.
• Managing participant merchandise, including overseeing ordering, inventory, and distribution of donated and purchased products.
• Managing staff and volunteers, including selecting and training highly effective staff, providing direction, feedback, and support to ensure employees understand responsibilities, are effective in their roles, and are delegated meaningful work.
• Representing the Institute at local association or business organizations meetings, such as the Park City Lodging Association.
• Serving as the main point of contact for the Institute travel contractor and training staff on the proper way to book or request travel.
• Completing project based assignments as needed.
You have the following direct or transferable skill sets:
• Legal authorization to work in the United States.
• 3-5 years experience in event planning, operations, hospitality, or a related field.
• Excellent attention to detail and accuracy in recording, tracking, and issuing information.
• Ability to collaborate with others and affect change within a multi-department, team-based environment.
• Outstanding written, verbal, and interpersonal communication skills to work effectively with a wide variety of people.
• Strong project management skills and the ability to meet multiple deadlines while handling multiple tasks simultaneously.
• Proficiency in Microsoft Office, FileMaker, Excel, and Google Applications preferred.
• Ability to work nights and weekends around events and key deadlines.
• Experience managing budgets, working with and directing volunteers, or in the hospitality and tourism industry preferred.
• A valid driver's license and completion of a successful DMV check is required.
