Employment Dates: 12/3/2018-2/15/2019
Considerations:This position works full time out of our Park City, UT office. May be lodged in Park City during the January Film Festival. Required to work extended hours, including some evenings, weekends, and holidays to meet deadlines. Must be willing and available to respond to on-call needs as assigned. A high level of mobility is required as well as an ability to drive safely in winter road conditions.
Position Summary: Manages operational planning, implementation, and management of New Frontier venue located at Kimball Arts Center. Position will have four direct report to assist in facilitating operations at venue.
Duties and Responsibilities:
• Maintains consistent and up-to-date information regarding planning and implementation with LA based Institute New Frontier Coordinator.
• Conducts ongoing communication and meetings with venue owner, internal stakeholders, sponsors and vendors to keep all parties up-to-date on venue planning, programming schedules, installations and logistical needs.
• Manages seasonal staff and volunteers, includes selecting and training highly effective staff and volunteers, providing direction, feedback, and support to ensure employees and volunteers understand responsibilities and are effective in their roles, and delegates appropriate work.
• Designs venue space, including electrical, signage, equipment, security and evacuation plans, furniture, etc. (working closely with Marketing, Events and Corporate Development).
• Oversees all equipment, furniture, etc. needs are ordered and delivered and returned by set deadlines.
• Working closely with the associate director, prepares an operational plan to present to Park City municipal.
• Establishes a timeline and plan with production department to setup and teardown, procure and return venue items, and to provide installations by set deadlines.
• Directs onsite setup and teardown of the venue.
• Procure sponsor items and communicate logistical information with sponsors (i.e. shipping dates, building access, power availability, layout design, etc.) working closely with corporate development.
• Works with the volunteer department to acquire adequate volunteer coverage for Festival event needs, creates schedules, provides ongoing and accurate information to department volunteers and provides timely responses to their inquiries.
• Tracks projected and actual expenses to stay within budget.
• Creates and submits a contract for approval to cover daily janitorial services.
• Maintains an accurate inventory, pre and post Festival, including photos of all furniture and equipment for venue.
• Manages the venue deliveries and inventory returns.
• Performs walkthroughs pre and post Festival to ensure venue is ready for public opening and to ensure venue is returned to original setup.
• Manages onsite operations throughout the Festival and ensures timely resolutions to issues as they arise, includes musician setup, snow removal, cleaning, tracking attendance numbers, etc.
• Writes a comprehensive written wrap report as directed.
• Other duties as assigned.
Position Requirements:
• Legal authorization to work in the United States.
• Valid driver's license and successful completion of DMV background check.
• 3 years operational planning and implementation experience or related.
• Leadership skills with a background that includes managing people.
• Outstanding communication skills, verbal and written.
• Strong interpersonal and professional skills required to work effectively with a variety of people.
• Excellent organizational skills including self management of work schedule.
• Must be able to maintain confidential information.
• Able to mitigate conflict and facilitate positive customer relations.
• Ability to work nights and weekends around events and key deadlines.
• Ability to lift and carry items up to 50 lbs.
• Able to stand and walk for long durations 12 hours a day.
Preferred Education
, Experience and Skills:
• Working knowledge of databases along with proficiency in Google Products.
• Basic knowledge of audio/video equipment.
