POSITION OVERVIEW
The Festival Associate Manager, Event Guest Relations is charged with supporting the planning and execution of Sundance Institute's premier opening night event during the Sundance Film Festival, as well as other key events.
Working closely under the direction of Associate Director, Events, the Festival Associate Manager, Event Guest Relations supports a successful and positive event experience for all attendees.
This temporary position works full time from Wednesday September 6, 2023 through Friday, February 9, 2024 and will be required to work extended hours, including some evenings, weekends, and holidays to meet key deadlines and respond to on-call needs as assigned. This position will be expected to perform onsite work duties in Park City, Utah as of Monday, January 8, 2024. Employees may start in commutable distance to Park City, UT or remotely from a state we currently legally operate in until the required onsite work date.
Top priorities include but are not limited to…
• Managing all guests relations, including communications prior to the event and responses to guest inquiries received via email and phone, preferably within 24 hours.
• Collecting and tracking ticket and table purchases and donations, guest contact information, waitlists, and RSVP information.
• Collaborating closely and maintaining consistent communication with the Festival Associate Manager, Event Logistics to ensure revenue and expenses are on track.
• Running onsite event check-in, including directing working employees and volunteers, tracking and disbursing tickets to guests.
• Working closely with Festival Associate Manager, Event Logistics on the crossover of duties, including tracking and processing the department budget and working to ensure event-related marketing materials are created, reviewed, and produced.
• Planning and arranging seating assignments and coordinating day of event seating with the Executive Office and Advancement Departments.
• Processing revenue with the Finance Department and working closely with the Advancement Operations team, including updating and tracking processed and pledged revenue in the organization's Customer Relationship Management system.
• Researching and compiling guest bios and distributing internally to working employees and the Board of Trustees.
• Working with the Advancement Department to ensure donor transactions and event details are collected and tax acknowledgment letters are sent to guests after the transaction is processed.
• Working closely with the Sundance Marketing and Communications team on event collateral, including assisting with messaging and design, gathering feedback and approvals, and ordering and compiling materials.
• Providing project and onsite event support to the Events team, including the Associate Director, Events and Manager, Events as needed.
• Ensuring all materials, correspondence, issues, etc are documented and tracked accordingly.
• Completing a comprehensive written wrap report.
You have the following direct or transferable skill sets:
• Legal authorization to work in the United States.
• 3 years experience planning and executing events.
• Outstanding verbal, written, and interpersonal communication skills to work with a variety of people.
• Excellent organizational skills and with the ability to prioritize.
• Ability to maintain confidential information.
• Working knowledge of Gmail, Google Drive (including Google Docs and Google Sheets and Google Calendar).
• Working knowledge of databases is preferred.
• Experience in tracking budgets and working with board members is preferred.
