Full Time Job
Job dates: The candidate hired for this role will work from 10/17/2018 until 2/6/2019
Considerations: This position works full time out of our Park City, UT office. May be lodged in Park City during the January Film Festival. Required to work extended hours, including some evenings, weekends, and holidays to meet deadlines. Must be willing and available to respond to on-call needs as assigned. This position will report to our Festival Artist Relations' Manager
Position Summary: Coordinates departmental administrative duties and operational projects for the Artist Relations Department.
Duties and Responsibilities:
• Coordinates departmental administrative needs as assigned, e.g. scheduling trainings, processing department invoices and stipends, etc.
• Sends departmental communication to internal stakeholders as directed.
• Prepares department meeting agendas, materials, and schedules meeting space.
• Maintains department calendars, timelines, and resource documents ensuring accurate information.
• Updates department training manuals and materials as directed.
• Updates department digital products as directed.
• Supports events team with onsite event execution as assigned.
• Proofreads print and digital content prior to submitting to Marketing for processing.
• Tracks event invitations, updates tracking grid and supporting documents.
• Assists in maintaining department budgets and expenses, as assigned.
• Coordinates office move to off-site location and off-site office needs, including locating products, ensuring deliveries are made, keeping office organized, etc.
• Plans and executes theatre tours for department collaborating with the Theatre Operations Department.
• Provides onsite support at theatres and venues as directed.
• Assists manager with directing volunteers, includes training highly effective volunteers, providing direction, feedback, and support to ensure volunteers understand responsibilities and are effective in their roles, and delegates appropriate and meaningful work.
• Supports team with projects and initiatives as directed.
• Writes a comprehensive written wrap report as directed.
• Other duties as assigned.
Position Requirements:
• Legal authorization to work in the United States.
• 2 years administrative experience.
• Outstanding communication skills, verbal and written.
• Strong interpersonal and professional skills required to work effectively with a variety of people.
• Excellent organizational skills including self management of work schedule.
• Must be able to maintain confidential information.
• Ability to work nights and weekends around events and key deadlines.
Preferred Education
, Experience and Skills:
• Working knowledge of databases along with proficiency in Google Products.
• Proofreading online and print content.
