POSITION OVERVIEW
The Coordinator, Finance is charged with processing Accounts Payable and Accounts Receivable for all assigned programs.
Working closely under the direction of the Senior Manager, Finance, the Coordinator will also provide support to the Finance Department. This full-time position works out of our Park City, Utah office with regular opportunities to work from home. Additionally, this role may be required to work extended hours, including evenings and weekends, at key points throughout the year.
Top priorities include, but are not limited to...
• Processing bi-weekly accounts payable, including entering invoices into the accounting system for payment and issuing checks, Automated Clearing Hours (ACH) payments, and wire transfers.
• Ensuring invoices are received and distributed for review/approval process, new vendor records are entered into the financial system, and that supplemental paperwork is received.
• Providing timely communications with vendors and/or staff regarding invoicing or account issues as they arise.
• Controlling Park City office credit cards, monitoring their use, and reconciling corporate Visa statements monthly.
• Tracking and disbursing petty cash for the assigned programs.
• Providing monthly accounts payable and accounts receivable Finance training to new Institute employees.
• Reconciling 1099 activity quarterly and assisting with the annual preparation and distribution of 1099's.
• Performing analysis and data management of revenue and facilitating entry into Netsuite for review and approval.
• Processing daily deposits of checks and scans supporting documents.
• Creating invoices and submitting to customers for payments.
• Reviewing past due receivables and following up on collections.
• Maintaining financial files such as creating new files, organizing paperwork, scanning, and archiving as necessary.
• Maintaining the unclaimed property database and file reports with multiple states.
• Supporting the Finance Department with various processes including calendar year end closing, annual audit, research and analysis, Film Festival responsibilities, etc.
You have the following direct or transferable skill sets:
• Legal authorization to work in the United States.
• 2 years of accounting and/or banking experience, with experience in nonprofit accounting preferred.
• Working knowledge of Excel, Word, Gmail, Google Drive, and Calendar.
• Excellent verbal, written, and interpersonal communication skills.
• Tact, sensitivity, and diplomacy.
• Ability to audit work, avoid mistakes, and perform tasks accurately.
• Ability to think and act quickly in a high volume and fast-moving environment.
• Proven organizational skills and ability to prioritize tasks.
• Strong customer support skills.
• Associate's degree in accounting, finance, or a related field preferred.
• Working knowledge of Netsuite or other accounting software.
• Experience facilitating training.
