Role Description
The Special Projects Coordinator will assist the Special Projects team with administrative duties, team organization, overseeing logistics, creative planning, and onsite-management of select SXSW clients. This person will need to be highly organized and have marketing, situational awareness, and competitive analysis skills.

Required Duties
• Maintain accurate tracking processes and documents through ongoing coordination with all SXSW departments, vendors and clients.
• Wide variety of market research related to clients, venues, other festivals, creative initiatives in the industry.
• Assist the Sales team with a wide range of responsibilities including asset management, event planning, fulfillment for SXSW clients through thorough information tracking, client relations, and leading site visits.
• Work with Sales and Sponsorship staff to compile a record / file of operational points relating to clients and brand led events.
• Create production timelines and assist with managing client deadlines
• Work with SXSW's City Liaison to ensure sponsor activations gain all necessary approvals from the City of Austin
• Oversee the set-up and operation onsite of Sales client activations and events
• Assist with department presentations to the company, clients, City and other participating entities
• Manage load ins, show days and load outs for assigned venues, events and contractors
Supervisory Responsibility:
• Assist with managing interns
Physical Demands & Work Environment:
• While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard, reach, stoop and kneel
• Light to moderate lifting is required
• Ability to uphold the pressure of fast paced work environment
• Regular, predictable attendance is required
