Overall Description:
Pre-event: Work with the Client Events teams to develop a top-line knowledge of all internal tracking systems for official client events. Onsite: maintain a presence in the SXSW Communications Center (Comms Center) during all event days of SXSW 2020 (Mar. 13 - 22). Act as a representative of the larger SXSW Sales Group via the SXSW Client Events team to be able to speak to events as calls come in and be prepared to notify the proper personnel of updates or issues as needed. This role will require being able to easily search internal tracking systems to quickly and accurately answer questions as they arise onsite.
Qualifications
Responsibilities include but are not limited to:
• Maintain communication with the SXSW Client Events team overseeing all venues, lounges and activations for official clients of Sales, Sponsorship and Special Projects
• Maintain communication with the Client Liaisons acting as SXSW representatives at official Sales, Sponsorship and Special Projects client venues, lounges and activations
• Be familiar with the Client Events internal tracking documents (Google Docs and FileMaker) and able to easily search them in order to quickly and accurately answer questions and provide guidance as calls come in to the Comms Center onsite regarding official events
• Monitor and respond to calls that come in to the Comms Center regarding any client venues, lounges and activations and be able to easily locate and refer to pertinent client information, site plans, line queueing plans, exterior signage plans, etc. as needed
• Produce a daily list of all official events taking place that day and give a short daily update report on ongoing issues/expected issues to form part of the SXSW Comms Center meetings
• Be ready to provide further details on events taking place should they be required
• Prepare a post-event report on the role, issues encountered and suggestions for next year
Qualifications
Include:
• Highly organized
• Ability to multi-task in a high stress, fast-paced environment
• Background in event production or project management is preferred
• Must possess excellent leadership qualities and communication skills (email, phone and conversational)
• Ability to work with large groups of people both internally and externally onsite
• Proficiency in Microsoft Office, Mac Platform and Google Drive required
• Proficiency in FileMaker a huge plus
• Ability to give and take direction, pay strong attention to detail and see projects through to completion
• Strong time-management skills and self-motivated
• Comfortable, calm, professional and positive attitude when working with and assisting co-workers and volunteers
