Executive Administration Trainee, Sony Pictures Animation - Fall 2019
The Sony Pictures Entertainment Professional Trainee program offers a unique opportunity to work alongside the teams that come together to create movies, TV shows, and other great experiences. This Summer/Fall Professional Trainee position is from September/October through mid-December. All candidates must be able to work 40 hours a week.
The primary duties of the administrative Trainee is to provide assistance and back-up for the assistant desks of the President and the Head of Production. This will include phone and desk coverage for two desks. This will also include assistance with expense reports, travel planning and booking, employee gifts/flowers, production, overhead, and general filing, facilitate lunches and craft services for production meetings, high profile meetings and special projects. This is an excellent position for someone starting in the business since it will include extensive training - and have support - from two established assistants.
Responsibilities:
• Desk coverage to answer phones manage scheduling - acting as back-up for the two primary assistants.
• Expense reports - working with American Express statement - Concur - receipts, travel authorizations for monthly expense reports
• Travel - Research travel options before submitting to travel for costs. Summarize various plans - including costs - to determine the best options for travel. Submit travel authorizations and work with travel on bookings.
• Filing for productions and projects - creating and maintaining production files, project files, and general files. This also includes assistance with maintaining the storage room for Production Overhead.
• Gifts and Supply ordering - all SPA gifts are centralized on the president's desk - assist with the ordering. Also help with ordering supplies and general craft services.
• Facilitate - Special lunch meetings as well as any high-profile meetings with outside guests. This includes working on menus - ordering - arranging for pick-up/delivery - and setting up selected room to event specifications.
Qualifications:
• An entertainment internship is preferred but not required.
• 1 - 2 years of either administrative or customer service experience.
• Excellent writing skills
• Attention to detail and ability to perform detailed tasks as assigned
• Professional phone manner
• Ability to handle complex calendar scheduling and meetings
• Ability to handle complex travel arrangements
• Computer skills including Word, Excel, Outlook and PowerPoint
• Some experience with Google Mail would be helpful
• Ability to work well under pressure
• A Bachelor's of Arts or Science
